Description

The role of the Office Coordinator is to provide exceptional service to patients and customers while providing outstanding support to physicians and healthcare providers. The Office Coordinator ensures that patients are welcomed in a warm and friendly manner and sees that their needs and expectations are met. Office Coordinators are responsible for ensuring the smooth operations in the fast-paced environment of the clinic with the goal of a positive patient experience with every encounter.

Key Responsibilities

    • Coordinates purchases of office, medical-surgical, pharmaceutical, laboratory, and x-ray supplies, manages inventories for each
    • Coordinates on-site telephone and computer systems with Hospital resource departments
    • Develops and maintains working knowledge of regulations and standards specific to the clinic(s), including Medicare service and billing regulations
    • Coordinates the development of physician and midlevel clinic schedules and coordinates and communicates initial and revised schedules as appropriate
    • Assures that physician call schedules are developed for all physicians, and coordinates call schedule with in-clinic schedule, physician availability, communicating initial and revised call schedules as appropriate
    • Works collaboratively with clinic division coding and billing specialists and central business office to assure timely and accurate capture of charges for services provided, prompt response to claim rejections, and compliance with all reimbursement procedures
    • Provides support for staff, mid-level providers and physicians in the Practice Manager's absence
    • Coordinates with clinic staff to ensure a positive patient flow and waiting room experience
    • Timely responses to patient inquiries and timely completion of assigned tasks
    • Answers telephones, forwards telephone messages and under the direction of licensed staff schedules appointments, procedures and diagnostic tests
    • Assists in routine clerical functions such as filing of medical information in patient's records, locating and preparing department charts, obtaining medical records from other providers and entering charges for billing purposes
    • May assist with front and back office duties as assigned simultaneously
    • Facilitates timely closing of clinic and follows closing procedures
    • Completes assigned training and education
    • Performs other duties as determined by the Practice Manager or Clinic Director

Minimum Requirements

    • High School diploma or GED equivalent is required
    • Excellent customer service and organizational skills
    • Demonstrated ability to communicate effectively on the phone, in writing and via email
    • Ability to exercise discretion on sensitive and confidential matters
    • Demonstrated computer skills with data entry software
    • Must be able to flex schedule in accordance with patient and provider schedules
    • Institutional accreditation and degree obtainment will be verified upon hire

Preferred Qualifications

    • One or more years experience in an outpatient clinic or other healthcare setting
    • Experience using Electronic Medical Records
    • Demonstrated knowledge of medical terminology
