Position Description
Employees in this position are responsible for the maintenance of patient billing accounts and performing numerous related functions to accomplish this task; such as, patient registration, insurance follow-up, financial screening of unfunded patients, answering patient billing inquiries, collection of unpaid balances and posting of payments in a Regional Campus Business Office.

Major/Essential Functions
  • Review Patient accounts with credit balances and process accordingly (following a batch system prepare for refund, transfer money, and/or reverse adjustments).
  • Process Patient and Insurance refunds in the MPIP Refund System and post refund check transaction in Centricity Business System (CBiz) using IDX script posting. Perform necessary corrections to exception based error report, void and reissue checks accordingly.
  • Complete State Dated Check project on a yearly basis and take leadership of project from start to finish.
  • All other duties as assigned.
  • Mail Patient and Insurance refund payments to the corresponding endorsed entity upon receipt of refund checks, gather and prepare refund backup documentation for batching in the Internal Document Repository application.
  • Update HD and HD/HCO Master Sheet File and ensure it reflects all monthly transactions from ESI.
  • Collect weekly HD and HD/HCO refund check transaction data in the designated UMC Refund Check file and confirm all related refund checks are sent to Management for personal delivery.
  • Assist Management to process Patient and/or Insurance refunds timely and accurately as defined by the Institutional Office of Compliance and their audit review findings. Assist in submitting Charge Correction requests in Share Point, as needed.
  • Process all Returned Checks and Daily Correspondence in the CBiz Practice Management System. Research Patient account activity, transfer, void and/or reissue checks. Resolve ETM (Electronic Task Manager) Workflow tasks in a timely manner.
  • Process and document in the Practice Management System Certified Refund Letter requests sent to Insurances.
  • Assist Patients and/or Insurance Companies with refund related inquiries in a timely manner.
  • Assist Business Office and Clinical departments with refund and/or transfer requests. Work with all TTUSHC departments to verify and resolve Patient credit issues.
  • Assist Management with email requests in a timely manner.
Position Specific Qualifications:
Three years of clerical experience, preferably in a medical or educational setting. -At least one year of refund experience in a medical setting. -Extensive knowledge and understanding of Medicare, Medicaid and Commercial Insurance preferred. -Proficiency to read, analyze and understand insurance Explanation of Benefits (EOB). -Ability to evaluate duplicate payments and determine refund based on patients insurance carrier profile. -Aptitude to multi-task and manage several projects at one time. -Ability to work independently and in a team environment. -Experience in Centricity. Business System preferred. -Basic knowledge of Accounting preferred.

Required Qualifications
High School Diploma. College course work preferred. Three years of experience in a business office or a setting where strong interview techniques are used. Public contact experience preferred. OR 90 days service at TTUHSC as a Medical Billing Associate Trainee, and an overall rating of at least 4 on their recent performance evaluation. Prefer additional experience in a clinic or physician's office.
