Location: Phoenix, AZ


PRIMARY FUNCTIONS:

Maintain member files and statistics; responds to request for medical records; perform clerical duties.


SPECIALIZATIONS:

Must have a professional appearance (business casual), must have excellent phone etiquette, and be customer service driven and able to multi-task. Must have written and verbal communication skills. Able to work with minimum supervision, knowledge of MS Office (Word, Excel, Outlook, Access) should be punctual and customer service driven.

MINIMUM QUALIFICATIONS:

High school diploma or equivalent. 6 to 12 months experience in related field in office setting preferably in a medical and/or behavioral health setting.

Bilingual required.

JOB RESPONSIBILITIES AND COMPETENCIES:

  • Maintain open and/or closed member files in Electronic Medical Record.
  • File/scan all member data upon receipt.
  • Maintain, store and ensure proper dissemination of member files.
  • Respond to and prepare legal requests for member records. Maintain tracking of disclosure of member records.
  • Prepare member files for internal and external audits.
  • Coordinate with administration staff and clinical staff to ensure proper documentation of member files
  • Maintain logs for outgoing and incoming faxes; PCP Coordination, Intake/Discharge, etc.
  • Responsible for processing Notices of Action (NOA): send notices to members, maintain tracking spreadsheet, close member charts as needed.
  • Attend meetings as assigned or directed.
  • Prepare and process SMI packets.
  • Provide coverage for front desk as needed: answer phones, schedule appointments, provide assistance to members in the clinic, check-in member for their appointments, schedule transportation, etc.
  • Assist with verification of member insurance benefits.
  • Assist with confirming member appointments.
  • Assist with other administrative duties as needed.

Perform other duties as assigned.

JOB DEMANDS:

Ability to travel statewide as needed. Communicate clearly and effectively both verbally and in writing. Able to present operational information to personnel at all levels. Able to identify and recruit potential funding sources.

CONTINUOUS EDUCATION:

Employee will be expected to participate in continuous learning, competency building and maintenance of competency skills.

TYPICAL WORKING CONDITIONS:

Work is performed in structured environments.

ACCOUNTABILITY:

Reports to and is supervised directly by the Office Manager. Employee is also accountable for understanding and complying with CPLC policies and procedures.
