Job Title: Office Manager Status: Part time

Exemption Status: Non-exempt Salary Grade: 21

Department: San Xavier Mission / Tucson, AZ

Primary Function:
Under the direction of the Pastor is responsible for managing the business office operations of the parish and school. This person may also manage other parish lay employees, as necessary. The Employee shall be a minister of the Gospel and Catholic Teaching behaviorally while at work and in his/her personal life, "Live in a manner worthy of the call you have received." (Eph. 4:1)

Essential Duties and Responsibilities:
  • Recognize and support the unique Catholic Mission of the Diocese by speaking, acting, and instructing consistent with the teachings of the Roman Catholic Church. The employee may not espouse, in word or deed, any doctrine inconsistent with the teachings of the Roman Catholic Church.
  • Give evidence of living Gospel values by being an active member of a faith community and being open to the importance of a personal faith journey; strive to model the teaching of Jesus by attitude and example.
  • Foster communication and works collaboratively with all other employees.
  • Record daily collections and other cash receipts.
  • Process payments to vendors and others ensuring proper backup and approvals.
  • Maintain and oversee petty cash funds.
  • Analyze expenses and purchase practices for savings.
  • Responsible for management and maintenance of all financial and administrative records.
  • Track receivables, payables and project expenses
  • Assist in preparation and review of all budgets.
  • Verifies the accuracy and proper approval of all payroll time sheets.
  • Maintains all payroll records.
  • Assists in directing and administering employee benefits.
  • Serves as main contact for the Diocese Human Resources department.
  • Ensure Diocese policies and internal controls are in place for all functions, departments and events.
  • Work with Diocese Internal Auditors as requested.
  • Assist in organization and preparation of Board meetings, committee meetings and special events.
  • Order office supplies and needed products.
  • Performs other duties as assigned.
Physical / Mental Requirements: Requires coordination and manual dexterity, normal mental and visual ability; ability to lift as required in normal office environment.

Required Activities: Walking; sitting; standing; stooping; reaching; talking; hearing; carrying; and keyboarding.

Basic Qualifications:
  • Excellent communications skills including written, verbal, public speaking, and presentation skills.
  • Excellent project management skills and ability to manage multiple projects simultaneously.
  • Flexibility in assessing needs and strategies and adapt appropriately in a ministerial environment.
  • Carries out all responsibilities with balance, empathy, sensitivity, and patience; pay attention to detail and be well organized.
  • Apply leadership skills as required.
  • Type 50 WPM; proficient with 10 key calculators.
  • Ability to work under minimal supervision.
  • Professional bearing and clean and neat personal appearance.
  • The ability to successfully complete a criminal history and background check.
Education and Experience:
  • Bachelors degree in accounting, Business, Public Administration, a related field from an accredited institution, or equivalent experience.
  • Three years experience as an Office Manager
  • Proficient with computer skills including word processing and spreadsheet preparation.
  • Working knowledge of automated accounting and payroll systems.
Other/Preferred Skills:
  • Bi-lingual (English/Spanish)
