Job Description

Reporting to the Director of Operations, the J. Orin Edson Entrepreneurship + Innovation Institute (Edson E+I) is seeking an Operations Coordinator to support day-to-day activities in the areas of facilities, human resources, accounting, and technology. The Coordinator will collaborate regularly with Edson E+I leadership and cross-functional teams to ensure tasks are completed in accordance with priorities, timing, and funding limitations.

 

This position may be supported in whole or in part by grants or philanthropic funding and may be contingent on the availability of funding.

 

Salary Range

$34,400 - $44,000 per year; DOE

Qualifications

Minimum Qualifications Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved. Desired Qualifications · Experience in customer service/customer-facing role. · Experience in office management. · Experience in establishing and maintaining effective working relationships with peers, community members, and stakeholders. · Evidence of effective communication skills. · Experience in analyzing issues, making sound decisions, and practicing resourcefulness in solving problems. · Experience in work that requires attention to detail. · Experience organizing projects and establishing priorities.

Responsibilities

Essential Duties Operations (85%) Facilities · Serve as the liaison to place-based innovation space community managers by supporting the development of standard operating procedures and providing standardized operational support · Support the ongoing administration, coordination, and training of our place-based innovation space management system · Support the submission of work orders for general E+I operations including working directly with the Facilities team and approved Vendors on logistics and scheduling · Maintain follow up on work order submissions, communicating status to ensure timely and quality service delivery · Assist in maintaining and communicating ASU Community of Care safety protocol procedures throughout all place-based innovation spaces Human Resources · Collaborate with leadership and hiring managers to support the development and maintenance of new employee onboarding procedures · Collaborate with leadership and hiring managers to coordinate employee onboarding, supporting requests related to new hire access, equipment, and technology needs · Support employee offboarding tasks including but not limited to termination of access and equipment returns Technology · Support the development of standard operating and onboarding procedures for Edson E+I operational software including, but not limited to, InnoSoft Fusion (place-based innovation space software), and Salesforce (customer management software) · Support the submission of E+I operations technology service tickets and tracks progress to ensure timely resolution · Collaborate with Research Technology Services to track hardware and software currently assigned to each team member · Suggest technology improvements, as necessary Accounting · Support E+I operations inventory management and procurement requests · Process invoices and payments, as needed · Assist in account reconciliation and reporting, as needed General (15%) · Provide front line support for employee requests, questions, or concerns · Prepare routine and non-routine reports including gathering/summarizing data and analysis · Participate in and contribute to cross-functional projects · Represent Edson E+I within Knowledge Enterprise and across the university and may serve on various department and university committees · Other duties as assigned Working Environment · Work duties are performed in diverse settings including, ASU SkySong (Scottsdale, AZ), various event/program locations, and remote work environment. · Activities include regular use of office equipment including a computer and are subject to extended periods of sitting or lifting up to 30 pounds. · Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts. · This position may require a flexible working schedule to accommodate projects and initiatives. · Domestic travel to Edson E+I place-based innovation spaces: ASU SkySong (Scottsdale, AZ), ASU Downtown Phoenix Campus (Phoenix, AZ), ASU Chandler Innovation Center (Chandler, AZ), ASU West Campus (Glendale, AZ), and Studios at Mesa Center (Mesa, AZ), will be required. · Will include regular review of tasks and progress.
