The 2Gen approach begins with a mindset focused on family-centered program design, continues with the alignment of services and resources within the department as well as across multiple organizations, resulting in coordinated services to children and adults together (family) in order to create long term stability and sustainability.

The 2Gen approach builds well-being for families by focusing equally and intentionally on high-quality services in five areas of focus: early childhood education, adult education and employment pathways, economic security, health and well-being and social capital. This approach will help us achieve our core mission of breaking the generational cycle of poverty, preventing neglect and abuse and building strong communities.

The Arapahoe County Department of Human Services Operations Division has an opening for a newly acquired full time Operations Services Coordinator in Aurora, Colorado. The Operations Division oversees all management of records and information, quality assurance and compliance, and data and security.

The Operations Services Specialist is responsible for a variety of technical, administrative and clerical duties associated with the administration of the Department of Human Services. The position assists division staff with establishing and terminating of needed system/database access for new employees, coverage for the Director's Office, and inventory of Human Services' equipment and state and local system/database password resets.

Duties

  • Acts as County Security Administrator to manage State Portal accounts and to submit password reset request for other State Systems including Trails, CFMS, EBT, DOLE, Mainframe.
  • Administers Human Services accounts in other systems, such as Genogram Analytics, Equifax, The Work Number, Systematic Alien Verification for Entitlements (SAVE), Integrated Colorado Courts E- Filing System (ICCES), Accurint and Experian.
  • Administers Human Services Verizon and AT&T accounts, manages wireless devices on account, and assigns appropriate data plans and services to Human Services employees.
  • Assists with the maintaining of the confidential database of inventory of computer and wireless data equipment inventory for both CentrePoint and Arapahoe Plaza Human Services locations.
  • Researches various computer systems including CBMS, CHATS, and Trails to develop and manage monthly sample lists for the internal Quality Assurance reviewers.
  • Tracks and manages various reports such as the roster lists for various divisions within the Department of Human Services.
  • Tracks, manages and distributes all Human Services comment cards to applicable management staff.
  • Acts as a backup for the Director's Office Receptionist and Project Management Administrator. This includes answering calls to the Director's office, assisting with citizen complaints, scheduling meetings, and general administrative tasks as required.
  • Acts as a clerical and project specialist compiling and distributing such information as, new employee orientation and candidate interview packets, approving and/or posting daily CentrePoint meeting room calendars, ordering supplies for the division, and picking up and distributing mail to divisional staff.
  • Acts as a backup to the Records Information Management unit in the management and storage of records, to include the preparation, electronic conversion, routing, retrieval, and destruction of case records.
SKILLS AND ABILITIES:
  • Proficiency in Microsoft applications (WORD, Excel, Outlook, etc.) and ability to learn various computer software applications (internal and external).
  • Ability to prepare a variety of reports and correspondence and perform routine office functions independently.
  • Ability to effectively complete work in a timely manner despite tight deadlines, high volume of work, constant/frequent interruptions and dealing with angry, upset, or frustrated individuals.
  • Ability to research, organize and prioritize the workload through sound decision and judgment.
  • Ability to establish and maintain a professional working relationship and effectively communicate both verbally and in writing with agency staff, outside agencies and vendors.
  • Ability to work independently or in a team environment.
  • Ability to maintain strict confidentiality.
  • Previous government/Human Services experience is preferred.

Requirements

EDUCATION:

Associate's Degree in Business, Office Management or related field

EXPERIENCE:

At least three (3) years of relevant experience with office systems management or administrative duties and client relations.

(An equivalent combination of education and work experience that satisfy the requirements of the job may be sufficient.)

PREFERRED QUALIFICATION:

Experience working in Human Services

Supplemental Information

This position requires successful completion of pre-employment background and motor vehicle check and post-employment fingerprint check.

Must possess and maintain a valid driver's license.

The salary grade listed is the full salary range for the Operations Services Coordinator position. Please note that the hiring salary will typically be near the lower end of the pay range listed.

WORK ENVIRONMENT:

Work is generally confined to a standard office environment, with occasional trips to other County facilities.
