JOB SUMMARY
Provides an outstanding first impression of HFM as the initial point of contact for patients in the clinic setting. Greets patients and visitors, answers telephones, schedules patient appointments, registers patients, processes insurance information & co-pays as needed, and performs visit closure. May be responsible for other office support duties as needed. High-volume clinic coverage (300-500 incoming calls per day or 100+ patient visits per day).

ESSENTIAL DUTIES/EXPECTATIONS
  • Accurately and efficiently schedules and coordinates patient appointments, cancels/reschedules appointments as directed by provider or by patient request. On a daily basis, consistently verifies medical assistance and other eligibility via WebMD, utilizing scheduling module generated report. Always verifies eligibility for walk-in appointments.
  • Always greets and registers patients in a prompt, pleasant, and helpful manner, accurately verifying all necessary information and setting up accounts correctly. Consistently and pleasantly notifies patients of any schedule delays beginning at 15 minutes past their appointment time.
  • Always screens visitors, telephone calls, takes messages, and responds to routine requests for information/service in a prompt and pleasant manner and willingly directs visitors to appropriate staff. Consistently oversees waiting areas and always reports problems and irregularities to appropriate staff.
  • Always collects co-payments/payments at the time of service and consistently balances own receipts accurately. Reconciles daily monies for routing control sheet and ensures that the control sheet is correct before sending to Network Clinic Billing.
  • Consistently maintains an error ratio of 2% or less in demographic entry in relation to total visits scheduled.
  • Proactively and willingly provides backup and assistance with other clinic responsibilities as necessary, to ensure the clinic/department runs as efficiently and smoothly as possible.
EDUCATION/EXPERIENCE REQUIREMENTS
  • High School Diploma required; additional training including healthcare customer service & computer programs and/or completion of the Health Unit Coordinator program are preferred.
  • Minimum of 4 years experience in a high-volume medical office or medical reception position required. Some positions may not consider applicants without experience due to complexity or volume.
  • Typing skills of at least 50 words per minute, excellent customer service and communication skills and the ability to work in a complex, fast-paced environment required. Knowledge and experience with Microsoft Office Products required.
HOURS
  • If First Shift (40 hours per week 1st/2nd Shift -7:00am - 7:00pm)
  • If Part Time (9-hour shifts a few times per week)
