Position Description
This position is responsible for assuring smooth operation of the clinic patient flow. Employees serve as primary contacts for patients and are responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Employees may have cash handling responsibilities.

Employees also provide patient care management to an assigned clinic in the areas of clerical and clinical duties. In clinical setting, the employee receives direct supervision from physician or nursing supervisor in either oral or written form. In office setting, the employee receives direct supervision from department administrator. Work is performed under usual office and clinic conditions. May be stressful when working under emergency conditions.

Major/Essential Functions
  • Responds courteously and efficiently to all incoming calls and schedules patients in the appointment system as indicated
  • Processes patients
  • Verifies/updates current patient information in the CB system, registers new patients, and enters pertinent patient information into the system
  • Collects payments from patients
  • Reviews daily schedule of patient appointments and notifies clinical staff of changes
  • Responsible to reschedule missed appointments at Provider's request
  • Assists patients with applications, forms, and insurance forms as indicated
  • Upon request, coordinates information pertaining to prescriptions, refills, lab reports, letters, etc. with physician and patients
  • Process daily clinic reconciliation; maintains petty cash balanced daily
  • Scan and index paperwork in EMR

Preferred Qualifications
Knowledge of cashiering and customer service experience. Ability to read and comprehend instructions and write messages. Basic knowledge of medical terminology. Ability to use equipment associated with patient triage. Knowledge of personal computers to include the use of Microsoft Office. Ability to manage multiple duties. Must have a current Medical Assistant and CPR certification. Familiarity with modern office requirement for physicians; medical terminology; manual dexterity necessary for clinical and laboratory procedures. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Bilingual: English/Spanish

Occasional Duties
  • Assists physician while patient is being examined
  • Records medical history, data on physicals, surgery referrals, and other facts as indicated
  • Assists physician with minor surgery
  • Gives instructions to patient on diet, medication or special procedures as indicated by physician
  • Process/schedule referrals/appointments to specialists, ancillary services, organizations or hospitals if indicated and obtains pre-authorization of insurance as needed
  • Collect blood samples in appropriate containers after positive patient identification and properly labels specimen(s), completes patient requisition
  • Verifies identity of samples with orders and processes laboratory specimen as indicated
  • Obtain medical pre-authorization and consults with provider for any changes
  • Routes specimens to appropriate test site
  • Prepares instruments and equipment to sterilize
  • Documents all in-house testing and procedures in EMR and in department log books
  • Retrieves laboratory results online system and reports and follows up on results with physician, responsible to address incoming urgent lab results with physician immediately
  • Communicates with healthcare providers, ancillary services, and hospital and laboratory services for patients, makes insurance referrals, obtains medication prior authorization
  • Ensures that sufficient supplies are at hand and that equipment is in good working order, initiates supply orders and repair requests
  • Provides medical care under the direction of the family medicine physician
  • Administers medication and injections, obtains and performs laboratory tests and first aid procedures as indicated by physician and diagnosis
  • Ensures that exam rooms are adequately stocked, neat, clean, and orderly with appropriate supplies and that these supplies are readily accessible, maintain daily upkeep
  • Assist physician in patient education material, give instructions to patient from physicians regarding diet, medication or special procedures
  • Triage patients
  • Maintains medication inventory/accountability
  • Performs other duties as assigned by supervisor within the policies of the dept. and TTUHSC in order to meet the goals and objectives of the department

Required Qualifications
Education: A minimum of a high school diploma or equivalent.

Experience: One (1) year of customer service, office or related experience required. Additional education may substitute for the experience requirement.
