Job Description Summary

Responsible for all administrative tasks in support of the organization's US and global payroll processing objectives. The incumbent will act as liaison to internal/external customers, ensuring timely payroll transactions and processing. Position requires adherence to all federal, state and local regulations pertaining to payroll processing, and exercises strict adherence to proper handling of confidential information. The candidate will possess a high level of integrity, the ability to thrive in a fast-paced, deadline driven environment, and require minimal supervision.Your Impact

Responsibilities Include

Payroll Processing (US & Global) 50%

  • Assist Payroll department with processing and analyzing multi-state payroll using Workday.
  • Responsible for ensuring timekeeping is submitted and approved as well as processing timesheet corrections.
  • Liaise with Human Resources and Benefits on payroll impacting transactions such as leave of absence, retro processing, 401K loans, etc for staff.
  • Work with HR and Benefits to onboard/offboard staff.
  • Process Payroll related invoices biweekly, monthly and quarterly including researching issues and basic reconciliations.
  • Assist Payroll department with ad hoc reporting requests and audits.
  • Monitor & review multi-state taxation reports, missing tax/payment elections, and local tax set up.
  • Keep apprised of changes in federal, state and local payroll tax requirements

Payroll Administration 30%

  • Responsible for biweekly (including off-cycle) printing and distribution of payroll checks and year end forms (W-2) originals or reprints. Support quarterly and year end activities such as tax filings, reconciliations and W2 generation.
  • Responsible for collection, sorting, and distributing securely Payroll mail and taking necessary action (where applicable). 
  • Monitor and respond timely, confidentially, and professionally to general payroll related inquiries in the payroll email inbox.

Other Duties 20%

  • Assist payroll team with new hire training and orientations (scheduled and one-offs)
  • Responsible for reviewing and updating payroll processes and procedures ensuring they are accurate and up to date.
  • Provide support and coverage for other payroll functions as needed.

Minimum Education Required

Bachelor’s degree in Accounting preferred, or related work experience

Minimum Years and Type of Experience

  • 3+ years of payroll transactions and processing
  • Experience with large integrated ERP systems (Workday is a plus)

Knowledge and Skills Required

  • Experience with full cycle payroll processing and proven knowledge of U.S multi-state and international payroll processes
  • Ability to multitask, possess a high attention to detail, and effectively prioritize assigned job duties to meet deadlines and objectives
  • Good organizational, time management, and be customer service oriented 
  • Strong PC skills, including competence in Microsoft Excel and other software applications
  • Should be a team player and possess the ability to work independently

The salary range for this position starts at $65,000

Job Designation

Hybrid - At the Society, we believe in the advantages of coming together to build community, mentor and learn from colleagues, and connect more deeply with our mission. As a result, the majority of our staff are Hybrid. Our Hybrid category requires that staff work at Base Camp two days each week: every Wednesday plus either Tuesday or Thursday. Because we recognize that we can effectively work remotely, this designation has been updated to provide more flexibility, both in the days staff choose to come into the office and how often they are expected to be at Base Camp. And of course, Hybrid staff are also always welcome to come in additional days each week if they prefer.
