Payroll Specialist (part-time)

Job Description

Bates White has an exciting opportunity for a part-time Payroll Specialist in our Washington, DC office. This individual will be responsible for all aspects of payroll administration. The ideal candidate will have experience processing payroll in Ultipro (now called UKG) for a professional services firm. This is a part-time role requiring 20 hours/week.


The primary duties of this position include, but are not limited to, the following:

  • Prepare bi-weekly and off-cycle payroll and verify accuracy by the established deadline, including regular pay, overtime, bonus earnings, and supplemental pay
  • Calculate pay adjustments for new hires, status changes, terminations, overtime, and retro adjustments
  • Process special off-cycle payrolls (bonus, severance, etc.) as required
  • Extract timesheet data from the accounting system and prepare it for upload to UKG by reviewing hours worked, following up on missing time entries, and validating timesheet information for each payroll
  • Ensure compliance with overtime laws by state and local jurisdictions for non-exempt employees
  • Maintain supporting files of all payroll inputs
  • Compile analytics for each bi-weekly payroll including comparison with the prior bi-weekly payroll
  • Responsible for 401(k) funding reconciliation and loan repayment withholdings
  • Process employee changes related to direct deposit and tax withholdings
  • Review and update employee deduction and/or benefit changes
  • Manage the year-end process in UKG, including payroll data accuracy and distribution of W-2s
  • Ensure compliance with processing move assistance, adoption assistance, and various paid and unpaid leave programs
  • Administer the following deduction types as needed: tax levies, child support, wage garnishments, and bankruptcy orders
  • Review quarterly tax returns and complete required adjustments by due date
  • Respond to employee payroll inquiries in a timely and professional manner
  • Assist with payroll journal entry preparation and the recording of standard monthly and ad hoc journal entries, which are supported by source documentation and/or analysis
  • Perform account analysis and reconciliation, primarily for payroll related general ledger accounts
  • Assist with the annual audit and tax reporting requirements by compiling payroll information as needed and support for ad-hoc requests
  • Provide payroll training to new employees

 

Job qualifications (required)

  • Bachelor’s degree in business administration, accounting, human resources, or related field
  • 5+ years’ experience in payroll, accounting, or similar role in a professional services firm
  • Experience processing payroll in Ultipro (now called UKG)
  • Knowledge of wage withholding orders, child support, and garnishments
  • Understanding of fringe benefits and how to process compensation such as moving expenses, educational assistance, and adoption assistance
  • Working knowledge of pre and post-tax dollars as it relates to gross pay
  • Strong understanding of multi-state payroll and taxes
  • Knowledge of leave accrual hours for Paid Time Off (PTO)
  • Experience with processing various types of time away from work, such as FMLA and short- and long -term disability
  • Must possess knowledge of and have experience with overseeing federal and state legislation affecting payroll, including wage and hour laws, FLSA, fringe benefit issues, tax and labor laws
  • Excellent communication skills

Job Qualifications (preferred)

  • Professional Certification (e.g. CPP – Certified Payroll Professional)
  • Experience and familiarity with Thompson Reuters 3E accounting system
