POSITION SUMMARY

The People Services Specialist will serve as administrative support for HRIS, talent acquisition including posting new positions, onboarding new employees, and fostering strong partnerships with organizational leaders to ensure accurate management of open positions. The People Services Specialist will assist with auditing HRIS systems to maintain data integrity and streamline operations. This position will provide troubleshooting, guidance, and resolution to internal staff and external individuals for maintaining employee HRIS accounts.

Qualifications

ESSENTIAL SKILLS AND EXPERIENCE:

  • Two (2) year college degree AND greater than three (3) years experience in a Human Resources role preferred.
  • High school diploma from an accredited institution or GED required
  • Demonstrated excellence in customer service with ability to interact with and instruct colleagues from beginner to advanced levels
  • Working knowledge of current Microsoft Office applications and Paycom HRIS System
  • Working knowledge of State and Federal regulatory requirements surrounding the pre-employment process
  • Valid Level One Fingerprint Clearance Card issued by the Arizona Department of Public Safety for all specialty behavioral health locations or ability to obtain within 30 days of employment
  • Prioritization and multi-task skills are required
  • Competency in working with people of various cultures
  • Evidence of valid Arizona drivers license and current auto insurance

POSITION REPONSIBILITIES

  • On-boarding
    • Maintain Employee File to meet regulatory and Organization standards
    • Coordinate pre-employment processing, including:
      • Coordinating the completion of reference verification
      • Coordinating the submission of background screenings
        • Education
        • Employment
        • Criminal County
        • Motor Vehicle Record
        • Credit Reports
        • Coordinating Illicit Substance Screening
    • Will be responsible for updating the on-boarding tracker with new hires
  • Coordinate the on-boarding process with the management team for all new hires
    • Upon receipt of the People Services Action Form (PSAF) this position will coordinate the on-boarding process from start to finish
    • Will work collaboratively with the hiring manager, employee health department, training team, and the information technology team
    • Will ensure all on-boarding requirements have been met
    • Will ensure that all requests for equipment have been submitted in the Service Desk ticketing system
    • Will ensure that the training team is aware of all new hires attending New Hire Orientation
    • Will coordinate the New Hire Orientation (NEO) and training schedules for all new hires in their initial 2 weeks
    • Will ensure all required checklists are completed before and after employment
      • On-boarding checklists: Clinical, Health Center, and On-boarding
      • Final Orientation Checklist
        • Final orientation participation form
        • Site Orientation form signed off by the employee and supervisor
      • Any and all other applicable checklists
  • Recruitment
    • Ensures that all job postings are up to date
    • Posting of all internal and external job postings
    • All employee email communication on current internal job postings
    • Maintaining postings in the HRIS system (Paycom) and other external job boards
    • Will work with the Senior Talent Relationship Manager and the recruitment team on other tasks as needed

  • Record Keeping
    • Supports the People Services Manager in maintenance of Employee Records in HRIS System (Paycom)
    • Will help to manage position inventory, position seats, and the organizational chart

  • Administrative Tasks
    • Will help to complete verifications of employment
    • Will help check the people services voicemail box
    • Will help manage the people services email box

NONESSENTIAL SKILLS AND EXPERIENCE:

  • Demonstrated experience as an Advocate for Health Care or Human Rights
  • Certification as Professional in Human Resources (PHR) by the HR Certification Institute (HCRI)
  • Bachelors degree in Labor Studies, Human Resources, Communications or Business

Work environment: While performing the duties of this job, the employee is exposed to weather conditions prevalent at the time when traveling to various clinic sites. The noise level in the work environment is usually moderate. The employee may be subject to health hazards (contagious diseases, blood borne pathogens, etc.) when working in the clinic area.
