Primary Purpose:

Organize and manage the routine work activities of the campus office, perform school accounting responsibilities, serve as confidential administrative assistant to the principal and provide clerical services to other staff members as needed.

Qualifications:

Education/Certification:

High school diploma or GED with some college preferred.

Special Knowledge/Skills:

Excellent written and oral communication skills.
Effective organizational and interpersonal skills.
Effective technological skills.

Experience:

One to three years secretarial experience preferred.

Major Responsibilities and Duties:

Records, Reports, and Correspondence:

Prepare correspondence, forms, reports, etc. for the principal using personal computer.
Demonstrate a positive and impartial attitude to parents, teachers, students and other EISD staff in all communications.
Compile pertinent data as needed when preparing various state and local reports.
Maintain physical and computerized departmental files related to the operation of the school.
Register and maintain all student information on computer.
Maintain discipline database.
Maintain current class lists.
Maintain staff database.

Accounting:

Perform routine bookkeeping tasks, i.e. enter, receive and process for accounts payable invoices, purchase orders and warehouse orders.
Serve as petty cash custodian for the school and prepare bi-monthly reconciliations.
Assist with budget preparation and budget maintenance.
Process donations.
Store and deposit all money collected.
Process professional growth/travel forms for staff.

Other:

Provide support in answering incoming calls, taking reliable messages and routing to appropriate staff.
Maintain a schedule of appointments and make travel arrangements for the principal.
Receive, sort and distribute mail and other documents to principal.
Sort and distribute documents to staff.
Display sound judgment in decision making.
Plan for and order all supplies and equipment needed by office staff.
Update staff handbook.
Update phone system with staff changes.
Maintain Confidentiality.
Other duties as assigned.

Manage overall school office operations.
