Supports the department by performing administrative duties related to planning and coordinating programming in support of academic enrichment of the department, institution and community.

Major/Essential Functions
  • Coordinates acceptance of candidates into medical fellowship programs, to include, processing applications, scheduling interviews, handling candidate evaluations, and reporting matching programs.
  • Develops, maintains, and coordinates clinical rotation schedules for fellows at the teaching hospital and/or off-site training programs, in conjunction with Fellowship Program Director.
  • Coordinates training./lecture programs and records evaluation of training programs.
  • Develops informational materials including newsletters, brochures, training materials, and Computer manual, as appropriate, to program.
  • Maintains fellowship program records and evaluations. Completes program reports, in accordance with accreditation standards; tracks participant progress through the program for completion of requirements; coordinates information required for ongoing program certification.
  • Assists and maintains liaison between the program and the Residency/Fellowship Review Committee/.GME.
  • In Conjunction with traveler, will coordinate Fellow travel arrangements and reimbursements.
  • Maintains Program letters of agreements for fellows at teaching hospitals and/or off-site training programs, in conjunction with Fellowship Program Director.
  • Attends Fellow Committee meetings.
  • Audits faculty personnel files in accordance with ACGME for Accreditation Council for Graduate Medical Education Regulations.
  • Provides and performs backup administrative support for Residency & Clerkship Programs, in order to meet the goals and objectives of the department and respective program(s).
  • Prepare and submit Personnel Action Forms (ePAFs) as needed for Fellowship Program.
  • Assist with ATLS and Under Performance Standards.
  • Liaison between the Department Purchasing Coordinator and Fellowship Residents. Will provide purchasing coordinator with information, as appropriate, for P-Card transactions, direct pays or purchase order requisitions needed for residency program.
  • Performs other duties assigned by Chairman, Fellowship Program Director or Administrator, within the scope of the position, following TTUHSC EP policies and procedures in order to meet the goals and objectives of the department and fellowship program.
  • Assist faculty and residents in planning and organizing research studies. Ensures that research protocol is followed. Serves as liaison with internal and external collaborative research. Responsible to maintain scholarly listings current. Assist faculty and residents in development and submission of research grants. Maintains a listing of available grants.
  • Responsible for data entry to the Institutional Review Board (IRB) system; includes initial application, amendments, closure form and continuing reviews. Required to participate with research audits and site visits. Provides administrative support to faculty and residents, as needed. Presentation preparation (poster, slide presentations, handouts).
  • Provides administrative support with special projects, as needed.
  • Assists with manuscript submission for publication consideration. Responsible for ensuring that manuscripts meet the journal guidelines. Manages internal semi-annual research day. Responsible for providing annual department scholarly activity report.
  • Serves and coordinates research committee. Responsible for taking meeting minutes and ensures meetings occur on a monthly basis. Will provide research related updates to all faculty and residents.

Preferred Qualifications
Excellent organizational and interpersonal skills. Communicate effectively, both orally and in writing. Ability to create, compose, and edit written materials. Ability to operate personal computer, familiar with various software programs. Knowledge and understanding of medical residency/fellowship operating principles and procedures. Highly organized in planning and scheduling techniques. knowledge of ACGME residency accreditation and certification requirements/standards. Research experience preferred.
