Job Description

The School of Counseling and Counseling Psychology is seeking two highly motivated program coordinators to plan, organize, and coordinate essential support activities and functions for the school’s doctoral, online master, and undergraduate programs. The coordinator will provide administrative support for admissions (Masters and PhD only), course scheduling, recruitment, graduate assistantship hiring, doctoral funding, accreditation processes, event planning, graduate practicum, internship, field placement, and student support. 

 

Salary Range

$53,000 - $59,000 per year; DOE

Essential Duties

  • Administers admissions process and meets with graduate students as needed.
  • Provides support for accrediting and credentialing bodies (APA and AZBBHE).
  • Serves as liaison to Graduate College liaison to support doctoral and master student activities and milestones.
  • Oversees and provides logistical support to doctoral and master program events (e.g., orientation, informational sessions, student events, hooding ceremony).
  • Provides administration and coordination of undergraduate and graduate course schedules, offerings, and edits.
  • Schedules courses and dissertation defenses into rooms with ASTRA.
  • Gives students enrollment overrides, quick enrolls, and meets with students as needed.
  • Communicates and coordinates with CISA Centralized Support. Generates and maintains organized and accurate graduate student files and records in online management system. 
  • Assists with disseminating various types of student communications (e.g., admissions letters, program information, opportunities, and important reminders).
  • Provides administrative support for student site application process across all levels of the process (pre-screening, application, and disposition).
  • Provides administrative support for site approval process (identifying sites, collecting necessary data for vetting, coordinating communication with sites and potential sites).
  • Serves as administrative liaison between academic programs and sites.
  • Supports the generation or renewal of Site Placement Agreements (SPA) between ASU and the sites; ensure that site SPAs are renewed before expiration; maintain records of current and past SPAs.
  • Process enrollment of students who have been approved for practicum, internship, and/or field placement.
  • Provides administrative support to faculty who are teaching, supervising, or otherwise overseeing students at external sites.
  • Provides administrative support to the admissions process.
  • Provides administrative support and coordination for counselor comprehensive examinations.
  • Coordinates graduate funding (e.g., tracking funding, supporting the assignment of school assistantships, and helping the school to nominate and award students for key fellowships).
  • Assistance with School assessment reports and additional data reporting.
  • Attends and participates in SCCP Faculty meetings and retreats. Assist with event coordination.
  • Other duties and special projects as assigned.


Minimum Qualifications

Bachelor's degree in field appropriate to area of assignment AND two years administrative/coordinator program experience; OR, Six years of progressively responsible administrative/coordinator program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Demonstrated experience and sensitivity in collaborating with colleagues and students from diverse backgrounds, with a strong commitment to creating an inclusive work and learning environment where students from various cultures, backgrounds, and personal experiences are welcomed and empowered to thrive.
  • Experience with ASU technological resources such as Salesforce, Peoplesoft, AdAstra, and AppXtender.
  • Experience with Microsoft Office applications, Adobe, DropBox, and Google Suite tools.


Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting. 
  • Use of office equipment including a desktop computer, phone, and additional office equipment (printer, etc.).
  • Lift up to 20 pounds.
  • Ability to clearly communicate to perform essential functions.
  • Work both independently or within a complex structured team.
  • Work from general instructions on standard job duties and specific directions/instructions on new assignments. 
  • Exercise judgement within defined procedures and practices to determine appropriate action.
  • Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
