Facilities Development and Management, Business Operations, seeks a Program Coordinator Sr. to provide division-wide services in the areas of Payroll/Time and Attendance.

Salary Range

$50,000 – $52,500 per year; commensurate experience and education. ASU offers a comprehensive benefits package with the State of Arizona.

Essential Duties

  • Perform Department Time Administrator (DTA) duties: review and reconcile timesheets each biweekly pay period ensuring accuracy and compliance with university policies and employment laws (e.g., FLSA, FMLA). 
  • Review employee time entry, communicate with supervisors for needed information to time entry to ensure accuracy, completeness and proper authorization. 
  • Manage, enter and track Exempt Absence requests
  • Perform biweekly payroll reconciliations, review and analyze information for accuracy.
  • Prepare and enter expense transfers, position changes, pay adjustments, and additional payments.
  • Prepare and enter employee terminations, review new hire paperwork for accuracy into PeopleSoft.
  • Create and maintain department employee personnel records; create and maintain department forms; prepare and distribute various payroll reports and communications. 
  • Liaise with other university departments (e.g. Financial Services, Human Resources). 
  • Utilize computer to access and maintain information in PeopleSoft, Kenexa BrassRing, Excel, Word, and Access. Review and analyze information from reports.
  • Work independently to complete assignments and meet all payroll deadlines.
  • Provide training to departments on time and attendance procedures and payroll related topics.
  • Maintain confidential information and records and adhere to record retention policies. 
  • Communicate effectively with supervisors or staff regarding university policy and procedures.
  • Provide back-up support to other unit staff; assist with special projects. 
  • Establish and maintain effective working relationships and the ability to work in a team environment.
  • Use ability to clearly communicate to perform essential functions.


DAYS AND SCHEDULE: Monday-Friday 8:00 a.m. – 5:00 p.m.


Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND four years administrative/coordinate program experience; OR, Master's degree in field appropriate to area of assignment AND two years administrative/coordinate program experience; OR, Eight years of progressively responsible administrative/coordinate program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

Experience in: 

  • Payroll processing (e.g. data entry, pay adjustments, termination payouts, overtime calculations, analyzing payroll data)
  • Reconciling time and attendance records
  • Performing payroll reconciliations and audits
  • Using Microsoft Office (e.g., Word, Excel, Access, Outlook, PowerPoint)
  • Filing and record management
  • Working within tight deadlines with attention to detail

Knowledge of:

  • Payroll policies, practices and procedures
  • Basic accounting principles
  • State and Federal regulations (e.g., FLSA, FMLA)

Ability to:

  • Analyze payroll data for accuracy 
  • Work independently and in a team environment
  • Establish priorities and meet tight deadlines

Evidence of effective communication skills


Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
  • Required to stand/sit for varying lengths of time and travel moderate distances to perform work.
  • Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
