Fleet Services Program Manager Arizona State University FDM FM Fleet Management Campus: Tempe 64971BR Job Description Facilities Development and Management (FDM) seeks a hands-on and working Fleet Services Program Manager to plan, organize, implement, direct, and lead the activities of Fleet Services including supervision of Automotive Mechanics, vehicle and heavy equipment repair, maintenance and utilization of FDM vehicles, fueling, budgets, record keeping, and vehicle acquisition and replacement recapitalization. Salary Range $60,000-$70,000 per year; DOE. ASU offers a comprehensive benefits package with the State of Arizona Close Date 25-January-2021 Essential Duties This position will participate in and oversee the diagnosis, maintenance, repair, and record keeping of all FDM fleet vehicles at all campuses including heavy equipment. Plan, organize, prioritize, evaluate and participate in vehicle and equipment repairs and maintenance tasks performed by the service unit for all divisions of FDM (Grounds, Maintenance, Utilities, Zero Waste, etc.) at all campuses. Perform administrative duties by maintaining accurate work records and related documents, writing accurate and complete work reports and resolving operational problems; manage equipment replacement budget by providing departments with vehicle and equipment purchase costs. Perform vehicle and equipment repair as needed. Supervise mechanic staff. Assign and evaluate the work of direct reports to include hiring, training, evaluating, conducting disciplinary actions, and other personnel actions as required. Review completed work by staff for completeness and accuracy. Manage and track all FDM vehicle utilization and maintenance schedules. Manage parts and equipment inventory. Monitor and approve the ordering of parts, supplies, materials, and fuels to ensure timely service and repairs. Oversee the purchase of vehicles and equipment. Implement current and long-term fleet planning activities, such as an annual acquisition and replacement recapitalization of vehicles, including prioritization of the acquisition of electric vehicles (BEVs). Coordinate disposal of retired and obsolete vehicles and equipment. Manage maintenance contracts, review and analyze outsourced maintenance and warranty repairs. Establish and maintain a cleaning system for all vehicles. Develop, recommend, and implement long-term and short-term improvements. Ensure vehicle safety and conduct operational inspections of vehicles on a daily basis. Ensure compliance with all vehicle regulatory requirements from ADOT and hazardous waste disposal in accordance with ADEQ. Assist in vehicle accident investigations. Manage all FDM vehicle records. Prepare and maintain a variety of records including vehicle utilization, maintenance schedules, work schedules, contracts, and purchase orders. Perform customer service functions by demonstrating continuous efforts to improve operations, decreasing turnaround times, streamlining work processes and providing quality seamless customer service. Responsible for the registration of ASU vehicles and assignment of vehicles to include a shared pool. Manage all ASU vehicle reporting to local, state, and federal government, AASHE, and ad hoc requests. Manage ASU vehicle emission testing notices and serve as the single point of contact for ASU vehicle reporting. Prepare statistical, financial, and summary reports as necessary. Monitor service requests and the quality of customer service. Ensure safety of personnel through effective use of training, performance management, and on-going communication. Develop and administer policies and procedures to assure effective and safe activities. Communicate effectively both verbally and in writing. DAYS AND SCHEDULE: Monday – Friday 7:00 a.m. - 4:00 p.m. This position may be called in for emergency response including nights, weekends, and holidays Minimum Qualifications Bachelor's degree in a related field AND five years administrative/coordination experience; OR, Master's degree in field appropriate to area of assignment AND three years administrative/coordination experience; OR Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
