Purchasing Manager


Key Purpose


The Purchasing Manager is responsible for managing the purchasing, tracking, and receiving of all food products in accordance with the company's and clients standards, regulations of OSHA, the Health Department, and HACCP guidelines.

While this is a non-cooking position, it demands extensive food knowledge to ensure quality and standards.

Success Criteria

  • Extensive knowledge of food products, including ingredients, vendors, and quality markers.
  • Ability to place, track, and ensure timely delivery of all orders.

Food Safety

HACCP

Strong leadership skills with an emphasis on mentoring and supervising junior staff.

Effective communication capabilities and attention to detail.


Key Accountabilities

  • Order placement, tracking, and guaranteeing timely delivery.
  • Regular review of the quality of purchased products and ensuring adherence to the companys quality standards.
  • Enter detailed order information, such as vendor names, quantities, and prices, into the internal database.
  • Supervise, train, and mentor the receiving clerk/storekeeper.
  • Monitor stock levels and production sheets to determine reorder points and place orders as required.
  • Conduct monthly inventory checks to maintain accurate stock levels.
  • Collaborate with warehouse staff to ensure that FIFO (First In, First Out) and HACCP procedures are diligently followed.
  • Attend and participate in all relevant meetings.
  • Ensure workplace safety, adhering to company and legal guidelines.


Food Programs

  • Ensure that all products and ingredients that are ordered and received adhere to the companys purchasing standards and sustainability commitments.
  • Coordinate with the culinary team to ensure that inventory aligns with menu requirements and food quality standards.


Staff

  • Oversee training and documentation standards for direct hires involved in the order and receiving process.
  • Handle staff reviews, coaching sessions, and disciplinary actions for those under the order and receiving domain.


Customer Service

  • Represent the company professionally in all interactions with vendors, clients, and internal teams.
  • Address and resolve any vendor or delivery complaints in a service-oriented manner.


Financial

  • Monitor expenses related to orders and receiving to ensure alignment with the budget.
  • Ensure cost-effectiveness without compromising on food quality or safety.


Retail

  • Collaborate with the retail team to ensure that products are available as per demand and ensure timely restocking.
  • Update and review retail order lists for accuracy in product names, allergens, and descriptions.


Qualifications

  • Strong written and verbal communication skills.
  • Previous experience in order and receiving, especially within the food industry, is essential.
  • Knowledge of database and inventory management systems.


Physical Demands & Work Environment

  • Come to work properly dressed according to the dress code
  • Employee must be able to work under pressure and time deadlines during peak periods
  • Work in a standing position for long periods of time (up to 8 hours)
  • Reach, bend, stoop, push and/or pull, and frequently lift up to 25 pounds.
  • Utilize team lift, transportation carts, and any other means of assistance when dealing with heavy loads

$85000.00 per hour - $90000.00 per hour Final compensation will be determined based on experience skills, and may vary from the range listed above.


Work Hours


The work hours for this position are Monday - Friday, 8:00 am to 5:00 pm, Mon-Fri.
