About this opportunity:

Albion Staffing Solutions is currently looking for a Receptionist to work at a company located in the Miami Springs, FL area. This is a 3 months position. As a Receptionist, you will be the first point of contact for the company. Receptionists duties include offering administrative support across the organization. Welcome and greet guests who visit the business positively and execute all administrative tasks to the highest quality standards. Coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

Job Duties:

  • Answer/direct calls and take/forward messages.
  • Greet and properly direct visitors.
  • Make sure conference room is ready for meetings.
  • Ask visitors if they would like bottles of water or coffee. (Prepare and distribute Cuban coffee twice a day, will teach)
  • Receive and deliver packages. If the package is light, please deliver to recipients office. If the package is too big for you to lift, please ask the recipient to come pick it up or ask for help. Keep the reception area free of all boxes.
  • Create FedEx shipments for office personnel. Ask who should receive the package; and by when should the recipient expect the shipment. Business only.
  • Keep track and order supplies needed by employees at HQ. Keep the backroom supply cabinet organized and stocked with basic supplies.
  • Maintain storage room: Keep items off the floor and put marketing items that come in on shelves.
  • Maintain kitchen area: Keep coffee station stocked and clean, keep counter clear, keep water bottles in fridge stocked, keep fridge rid of expired items (ask office to clear out fridge periodically).
  • Keep the common areas clear from clutter, reception area, kitchen, storage room and conference rooms.
  • Call custodian when trash and other boxes have not been picked up. Please make sure to scan the common areas to make sure custodian doesnt miss anything.
  • Call custodian or advise him when areas need cleaning, ex. Windows or floors.
  • Call/email the property management when there are issues with the building/gate/elevator/bathrooms/parking and other building utilities.
  • Order lunch for any working lunches in the conference room.
  • Upkeep all Station Contact list and HQ Extension List.
  • May assist in booking needed travel arrangements for AOGs, scheduled trainings and other events. Notify involved parties of arranged travel. Submit monthly concur report for travel expenses.
  • Prepare shipments or set aside company's shirts when requested by HR Department.
  • Open, scan, and distribute mail daily on first floor for incoming mail and shipments.
  • Assist the Crystal Springs delivery man by opening the back-office door and guiding him through the office replacing the empty water gallons.
  • Recruitment responsibility for HR
  • Prepare New Hire packets for HR
  • Reconcile some HR Invoices and Contractor Invoices
  • Assist in coordinating Company events with the HR Team

REQUIREMENTS:

  • Must have strong organization skills
  • Detail oriented and have the ability to work in a fast- paced environment with constantly shifting priorities.
  • Excellent Communication skills, both written and verbal.
  • Ability to work independently as well as in a team environment.
  • Proficient with MS Office products (including Word, Excel, and PowerPoint).
  • Ability to multi-task and handle changing priorities.
  • Strong time management skills and Organization
  • Able to work with minimal supervision, self-starter.
  • Bilingual in English and Spanish

EDUCATION & EXPERIENCE:

  • High School Diploma or equivalent.
  • Previous Receptionist experience

Workplace Location:
Applicants will work in the customer's facility - located in Miami Springs, FL
