Receptionist/Human Resources Assistant (Bilingual)

Purpose Statement

The job of Receptionist/Human Resources Assistant (Bilingual) is done for the purpose/s of greeting and

directing visitors, responding to inquiries from staff, the public, parents, students, etc. to provide requested

information and/or referral to other parties; and supporting applicant processing and interviewing processes.

Essential Functions

Answers multiline telephone system for the purpose of screening calls, transferring calls, responding to

inquiries and/or taking messages.

Diffuses hostile situations for the purpose of taking action and/or directing to appropriate personnel for

resolution.

Distributes a variety of items within the site (e.g. special delivery and overnight mail/packages,

messages, application packets, etc.) for the purpose of disseminating materials to appropriate parties.

Greets public, parents, students, vendors, etc. for the purpose of responding to their inquiries and/or

escorting/directing them to appropriate personnel.

Maintains materials and information within reception area (e.g. notices, marquee, application packets,

etc.) for the purpose of providing information to employees and visitors.

Maintains a variety of pre-employment files (applicants, certifications, test scores, etc.) and records

(manual and computer) for the purpose of ensuring accuracy of applicant's records, maintaining eligibility

for position and complying with all federal/state/district regulations.

Supports assigned Administrators and departmental staff for the purpose of providing assistance with

clerical and administrative functions.

Supports employment process (e.g. accuracy of application, call-backs for interview, notification, etc.) for

the purpose of meeting district staffing requirements while complying with all district, state and federal

regulations.

Translates a variety of verbal and written communications between English and Spanish for the purpose

of facilitating communications between school or department staff and non-English speaking students,

parents, staff and other members of the community.

Other Functions

Performs other related duties as assigned for the purpose of ensuring the efficient and effective

functioning of the work unit.

Job Requirements: Minimum Qualifications

Skills, Knowledge and Abilities

SKILLS are required to perform multiple tasks with a need to occasionally upgrade skills in order to meet changing

job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include

preparing and maintaining accurate records; operating standard office equipment;, utilizing pertinent software

applications, and planning and managing projects.

KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read

a variety of manuals, write documents following prescribed formats, and/or present information to others; and

understand complex, multi-step written and oral instructions. Specific knowledge based competencies required to

satisfactorily perform the functions of the job include: business telephone etiquette; accounting/bookkeeping

principles; common office machines; concepts of grammar and punctuation; and office methods and practices.

ABILITY is required to schedule a number of activities, meetings, and/or events; gather, collate, and/or classify data;

and use job-related equipment. Flexibility is required to independently work with others in a wide variety of

circumstances; work with data utilizing defined and similar processes; and operate equipment using defined methods.

Ability is also required to work with a significant diversity of individuals and/or groups; work with similar types of data;

and utilize specific, job-related equipment. Problem solving is required to analyze issues and create action plans.

Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is

limited. Specific ability based competencies required to satisfactorily perform the functions of the job include: working

with constant interruptions, working with detailed information/data, being attentive to detail, communicating with

diverse groups, displaying tact and courtesy, maintaining confidentiality, meeting deadlines and schedules, working

as part of a team, and setting priorities.

Responsibility

Responsibilities include: working under limited supervision following standardized practices and/or methods; leading,

guiding, and/or coordinating others; monitoring budget expenditures. Utilization of some resources from other work

units may be required to perform the job's functions. There is a continual opportunity to have some impact on the

organization’s services.

Work Environment

The usual and customary methods of performing the job's functions require the following physical demands: some

lifting, carrying, pushing, and/or pulling, and significant fine finger dexterity. Generally the job requires 40% sitting,

30% walking, and 30% standing. This job is performed in a generally clean and healthy environment.
