Job Description

Job Title: Receptionist Exemption Status: Non-exempt
Status: Full Time


Department/Location: Catholic Cemeteries/Tucson, AZ

Primary Function: Under the direction of the Executive Director of Cemeteries and/or Office Manager, the Receptionist is responsible for performing a variety of reception, administrative and secretarial duties for the Catholic Cemeteries. The Employee shall be a minister of the Gospel and Catholic Teaching both academically and behaviorally while at work and in his/her personal life, "Live in a manner worthy of the call you have received." (Eph. 4:1)

Essential Duties and Responsibilities:
  • Support the Diocese of Tucson and the Churchs spiritual and pastoral mission
  • Shall abide by Catholic principles in the employees professional and private life and shall govern his/her professional and private life in strict accordance with Catholic morals and principles to demonstrate complete adherence to Catholic moral strictures.
  • Receive all visitors and clients in a professional and caring manner.
  • Maintain the confidentiality of information and cemetery records, staff, and families; respect the privacy of all persons
  • Foster communication and works collaboratively with all other cemetery employees
  • Answer and handle telephone calls in a professional and courteous manner
  • Provide concise information, and contact phone numbers in a timely manner to Cemetery Staff when messages are left.
  • Pickup, sort, handle, and distribute mail and packages daily as required; perform bulk mailings as necessary
  • Accept fees and payments, maintain records and reconciliations as necessary; prepare deposit records from received payments at the end of shift daily
  • Perform data entry, scan and maintain information in computer system data bases; including sales agreements, invoices, payments, merchandise orders, inventory control and other information, update physical record keeping systems of the cemetery including cards, files, and other documents.
  • Maintain mailing lists, labels, Parish database, and Burial Calendar
  • Provide Burial Schedule 48 hours in advance, daily.
  • Provide secretarial and word processing support as required
  • Maintain sign in logs and other records as necessary; control use of family rooms;
  • Maintain a safe working environment, including security of buildings
  • Perform other duties as assigned

Physical/Mental Requirements: Requires coordination and manual dexterity, normal mental and visual ability; ability to lift as required in a normal office environment.

Required Activities: Walking; sitting; standing; stooping; reaching; talking; handling; hearing; carrying; and keyboarding.

Basic Qualifications:
  • Must have a working knowledge of and a strong commitment to the mission of the Diocese and the parish; must be in communion with the Church
  • Excellent communications skills, verbal and written; excellent human relations and interpersonal skills
  • Exercise courtesy to fellow employees, and the public
  • Must be a self-starter; well organized; perform multiple tasks simultaneously and work with a sense of urgency
  • Be able to work collaboratively in a team environment; punctuality is a must at all times; weekend and overtime work may be required
  • Proficiency in computer technology to include word-processing, spreadsheets and internet research; minimum typing skill of 40 WPM
  • Professional bearing; clean and neat personal appearance
  • Ability to successfully pass a background, criminal history, and credit history check
Education and Experience:
  • High School Graduate or equivalent
  • 1 years experience as a receptionist in a small, medium, or large firm or equivalent experience
Other/Preferred Skills:
  • Bilingual (English/Spanish) preferred
