Major/Essential Functions
  • Relieves Residency Director of various administrative tasks related to Psychiatry Residency Program. Prepares and distributes reports.
  • Compiles data and statistics for performance reports and prepares other reports as needed
  • Clerical support for Program Director. Receives calls, maintains calendars and keeps them updated to current appointments and events, types letters and memos. Responsible for organization and coordination of CME accredited Grand Rounds program for the department.
  • Ensures that residency contract requirements are met by organizing resident rotations in the departments of Psychiatry Transmountain. Maintains and coordinates clinical rotations for residents at different rotation locations.
  • Coordinates acceptance of candidates into Psychiatry residency programs, to include processing applications, scheduling interviews and handling candidate evaluations. Plans and coordinates functions for the residency program for the departments of Psychiatry-Transmountain
  • Meets regularly with Program Director concerning issues related to the program, i.e. status of activities and projects, methods for improving workflow and make recommendations for training improvement. May assist in program level policy development
  • Interprets and applies ACGME and other national accredited agencies in support of compliance
  • Provide administrative supervision and support to residents/interns, and acts as a liaison between residents and hospital administration as needed. Establishes relationships and acts as a liaison with internal departments and divisions regarding resident recruitment, orientation, annual program affiliation agreements and external rotations
  • Tracks, reports and ensures compliance with procedures regarding licensing, internal moonlighting, CRICO extensions, annual contracts, and initial/re-credentialing of trainees
  • Manages materials for PRITE exams and may assist with proctoring exams
  • Plans departmental annual events including recruitment, orientation, graduation, faculty retreats, as well as various meetings and program related events.
  • Organizes meetings, prepares and distributes materials for conference and lectures. Develops brochures, invitations, advertisements for events and lectures
  • Maintains the ERAS database (Electronic Residency Application System) and oversees it's process during the residency recruitment season.
  • Actively participates on the match process and corresponds with newly matched residents about requirements. Assists with quota review and rank list entry certification in NRMP (National Residency Program).
  • Participates in the preparation for ACGME site visits for internal review
  • Performs other duties as assigned by the Resident Program Director
  • Maintains residency program records and evaluations. Completes program reports in accordance with accreditation standards. Tracks participant progress through the program requirements. Coordinates information required for ongoing program certification.
POSITION SPECIFIC QUALIFICATIONS:
  • Ability to communicate effectively and courteously with a variety of people. Accurate and skillful use of a personal computer to include Microsoft Office. Additionally, must be able to use general office equipment.
  • Grammar proficiency with the ability to read and write routine correspondence.
  • Must be proficient in the English language; both written and verbally.
  • Working knowledge of medical and scientific terminology.
  • Must have excellent organization skills and be able to handle various tasks simultaneously.
  • Must have experience dealing with individuals from different social cultural backgrounds in a professional, courteous and tactful manner.
  • Be able to perform under pressure in order to meet deadlines.

Preferred Qualifications
PREFERRED QUALIFICATIONS:
  • Bachelors degree in Healthcare Administration with medical education experience a plus.
  • Knowledge of planning and scheduling techniques, excellent organizational and interpersonal skills.
  • Knowledge and understanding of residency and medical student operating principles and procedures.
