DISTINGUISHING FEATURES OF THE CLASS:
The Secretary II/Intake Specialist is responsible for providing clerical and recordkeeping duties of all transactions
processed including intake of applications for applicable programs/departments throughout the Gila River Indian
Community. The Secretary II/Intake Specialist prepares files of basic documents, including participant eligibility
verifications.

ESSENTIAL FUNCTIONS:
o Correspond with the Tribal Enrollment Office for verification of participant enrollment; may correspond with
schools to verify participant enrollment (based on program requirements).
0 Answer applicant telephone calls regarding program and eligibility requirements; assist applicants in filling
out applications.
0 Accept applications from the public and examine for completeness; prepare files for new applicants, accordingto set filing system.Prepare the official count of assisted school funding to report to the Community.Input data into computer for future reference.Prepare and mail out notice of program or request for updated application information.Assist with disbursement of checks when received.Report any concerns regarding program procedures or occurrences to supervisor.Perform other related duties as assigned.REQUIRED KNOWLEDGE, SKILL AND ABILITY:Working knowledge of modern office filing system.Knowledge of modern office practices and equipment.Some experience in basic operation of computers.Ability to type simple forms and documents.Ability to understand and follow verbal and written instructions.
Ability to do and check basic arithmetic calculations.Ability to organize work under supervision.Ability to maintain accurate records and prepare reports.

and the public.
0 Ability to perform all physical requirements of the position; agree to maintain a Drug-free workplace.REQUIRED EDUCATION/EXPERIENCE:
High School diploma or GED and a minimum of two (2) years performing general clerical duties in an office
setting; which includes training in office productivity software and the use of modern office equipment.ADDITIONAL RE! 2UIREMENTS:

- Required to obtain a Tribal Operators permit. Valid state drivers license with a current proof of driving
record for the past 39 months will be required to qualify for a tribal driving permit. Proof of driving record
must be submitted with application and must not be more than 60 days old from the date of submission of the
application.
