Job Purpose

  • Provide ownership, coordination and management of all moves and relocations, MAC led changes and power and data changes where required within the Moves & Changes delivery stream up to the value of $100K and up
  • Managing sub-contractors, client engagement, cost management and quality control
  • Maintain all financial tracker administration duties required, within MAC functions
  • Collects proposals for work and communicates costs to stakeholders for approval
  • Act as a liaison between stakeholders and vendor partners, providing clear communication of requests to the correct workstream
  • Provide support to the wider team as and when required to assist with the smooth running of the MAC services
  • Leads meetings with stakeholders to review large projects for
  • Occupancy updates and uploads post move in Webcore
  • Maintain schedule of work being performed for multiple projects for multiple workstreams
  • Tracking of all MAC activity to present in weekly and monthly reports
  • Act as a mentor in the training and development of new team members


Qualifications / Experience

  • Ideally the candidate should have extensive knowledge within the MAC arena, including an understanding of interior fit out
  • Excellent IT skills required with key knowledge of Microsoft Office including Excel, Word, PowerPoint and
  • Microsoft Project. Knowledge of WebCore Occupancy Management system is essential.


Key Results Areas

Operational

  • Provide day to day management of the delivery team for all moves and changes taking place within the London Campus
  • Meet weekly with the Senior ISS management to provide accurate updates on work status
  • Meet regularly with the regional delivery teams to share ideas and continuously improve the service provided to the client
  • Maintain excellent relationships with Barclays stakeholders to ensure all client expectations are met
  • Provide an outstanding Colleague experience throughout the MAC delivery process
  • Manage the ISS sub-contractors to ensure all work is completed to the highest possible standards, within budget and in a timely manner to meet the client expectations
  • Liaise with space planning team to ensure all existing and proposed drawings are issued for client approval prior to works being carried out
  • Interact with finance team to ensure a vendor POs are provided to vendors for all work performed
  • Reviews vendor invoices to confirm vendor hours works and billing accuracy
  • Ensure that the Occupancy data held in Webcore is maintained and updated once moves have been completed. Liaise with the portfolio optimization team on a regular basis ensuring system is up to date at all times, and that all works fall in line with the Portfolio Optimization strategy
  • Ensure that all costs for moves are submitted to the relevant requestor in a timely manner
  • Obtain Barclays Webcore approval for all MAC work quotations prior to any work commencing.
  • Maintaining MAC and project trackers using the ISS tool kit to ensure all works, sanctioned costs, approval dates, vendor quotes and final costs including all relevant ISS mark ups are logged in the projects tracker.
  • Provide move information to all parties involved in the moves and changes, including but not limited toplans, move packs and contact lists.
  • Liaising with the wider ISS team
  • Co-ordinate access permits and enabling works for any ad-hoc requirements
  • Approval of e-permits, access permits and contractor RAMS for MAC works
  • Managing and signing off of contractors out of hours whilst work is taking place
  • Ensure all Health and Safety documentation is filed following completion of projects
  • Produce MS Project programmes for large scale moves
  • Adherence to all MAC KPIs ensuring that all reporting and measurements are met for client reporting tools.


Client Relationships

  • To maintain regular contact with the client representatives to review and resolve operational matters
  • To respond rapidly to short term operational issues
  • Provide regular updates and management information as required

* Ensure that the day to day operations within each move/project are conducted to the highest standards of

safety taking account of all the legislative and regulatory requirements

* To bring to the teams attention any safety issue related to the move

* To implement regular H&S stand downs / toolbox talks and weekly site checklist as appropriate

* To conduct day to day operations with due regard to environmental standards, legislation and regulatory requirements.

* Continually strive to improve to existing MAC process and provide an innovative approach for our customers

* To ensure that the highest quality standards are applied in all areas of day to day activity in order to satisfy

and maintain ISS Integrated Solutions defined standards and the requirements of external quality

verification.

The annual salary range for this position is $15000 per year - $160000 per year. Final compensation will be determined based on experience and skills, and may vary from the range listed above.
