Position Description
Performs clerical duties of a specialized or technical nature, which may be performed in a variety of settings. Responsibilities may include basic bookkeeping, typing, word processing, filing, sorting, posting, verifying, recording, and data coding and processing of moderate complexity. A general understanding of organizational policies and procedures and some expertise in the area of assigned work is required. Duties are performed under direction within established policies and procedures with job performance based upon completion of assigned tasks.

Major/Essential Functions
  • Assign compliance education utilizing TTUHSC online education system as well as other education systems utilized by the Compliance Department. Training includes HIPAA, General Compliance, Conflict of Interest and other trainings as deemed necessary training. Compliance training modules will change and increase to meet regulatory requirements.
  • Assist in scheduling meetings for staff.
  • Accurately records meeting minutes and transcribe them for approval of the meeting chair
  • Submit policies and other documents to the appropriate person for posting on the intranet.
  • Track compliance education utilizing TTUHSC online education system as well as other education systems utilized by the Institutional Compliance Department. Trainings include HIPAA, General Compliance, Conflict of Interest, Ethics, Standards of Conduct, other training lessons may be added as needed. Compliance training modules will change and increase to meet regulatory requirements.
  • Provide direct administrative assistants to the institutional compliance officer.

Pay Statement
Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as, the institutional pay plan. For additional information, please reference the institutional pay plan on the Human Resources webpage.

Occasional Duties
  • Perform excluded provider checks by uploading lists of faculty, staff and vendors into the Streamline. Verify system to search for name matches.
  • Send delinquent notifications to individuals and to their supervisors under the direction of the ICO.
  • Clears encumbrances. On a monthly basis and at the end of the fiscal year, purchase orders that have unused monies need to be released to close out that purchase order. Individual will obtain the open encumbrance report to review each line item to assure that the goods or services have been received. Financial System will be updated appropriately.
  • Tracks department inventory.
  • Participates in compliance related projects and assessments by researching various statutes, regulations, policies, etc.
  • Order departmental supplies and training sessions.
  • Assist with creation of purchase orders and maintains receipts.
  • Other duties as assigned.

Required Qualifications
  • Proficiency in written and mathematical processes as may be reflected by the completion of high school or the equivalent.
  • One year clerical experience.
  • Additional education and/or related experience to equal one year may substitute on a year for year basis.
