Position Description
This position is responsible for assuring smooth operation of the clinic patient flow and serve as primary contacts for patients. Responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Ability to communicate effectively with a variety of people. Ability to understand and follow instructions. Work is performed in usual clinic conditions and requires a high degree of direct contact with patients, HSC staff, and insurance companies. Employees have cash handling responsibilities.

Major/Essential Functions
  • Greets patients, performs registration of patients, to include updates of demographic data, financial data, insurance information and any other third party payor information. Photocopy of insurance cards and picture ID. Arrives patient in Centricity Business for Daily report.
  • Receives all incoming telephone calls through the AVAYA system directs to staff/faculty as appropriate.
  • Schedules patient appointments. Cancels and re-schedules appointments according to changes on physicians schedules in Centricity Business.
  • Cancels, reschedules, and creates new clinic schedules as needed.
  • Prepares and prints arrive/no show report. Sends no show letters to patients who miss their appointments.
  • Preforms discharge procedure, schedules patients for return visit, and collects fees accordingly.
  • Verifies Medicare, Medicaid, and all third party carrier coverage prior to patients appointment. Obtains pre-authorization or pre-certification for coverage of office visit or surgical procedure with appropriate ICD-10 and CPT codes needed.
  • Prepares daily deposits, obtains departmental approval and submits deposits to MPIP Department.
  • Pulls/logs out mammograms requested from other sites for comparison by physician.
  • Contacts patients via telephone to remind them of surgical procedures and deposits owed.
  • Negotiates deposits and/or deductibles for all elective procedures based on patients financial category.
  • Prepares and completes Breast Conference memorandum with recommendations indicated by the physician. Distributes information to the appropriate personnel.
  • Notifies Supervisor of any changes in daily appointments and keeps her informed of all patients issues pertaining to schedules.
  • Assist in covering other clinics within the Surgery Dept. Attend community health fairs, annual fund-raising activity, provide training to medical assistants/students, represent Surgery Dept. /Breast Clinic at any TTUHSC committees and /or meetings.
  • Supervision of Senior Patient Services Specialists and Patients Services Specialist in the absence of Assistant Director.
  • Intervenes and handles issues relating to patient problems, concerns, or complaints and takes measures to correct situations.
  • Perform other work related duties and determine by Assistant Director and/ or administrator.
Position Specific Qualifications:
High School diploma. Five years of office experience with 2 years in medical environment or 3 years work experience at TTUHSC in the Patient Service Program.

Preferred Qualifications
Preferred Knowledge, Skills and Abilities

Extensive knowledge of medical terminology, coding procedures, CPT and ICD-10, billing functions, cashier and data entry. Familiar with Centricity Business (CBiz), Electronic Medical Record (EMR), Referral Management System (RMS), Phreesia, Cerner (University Medical Center/Trans mountain), and AVAYA phone systems. Excellent organizational and leadership skills. Ability to communicate effectively with physicians, patients, coworkers, and outside medical entities. Problem solving skills. Training A& Development Skills.

Required Qualifications
Education: A minimum of a high school diploma or equivalent.

Experience: Three (3) years of customer service, office or related experience required; prefer two years of the experience in a healthcare setting. Additional education may substitute for the experience requirement.
