Position Description
This position is responsible for assuring smooth operations of the referral management process. Employees in this position are responsible for efficiently processing referrals in a timely manner. Employees assist patients in making and keeping appointments, collaborate with referring providers and consultants to facilitate two-way communication needed to complete the referral process in an efficient and timely manner. Additionally, employees in this position are responsible for scheduling appointments and documenting/uploading necessary information into the patient's electronic medical record prior to their visits. They are also responsible for obtaining relevant information from patients and insurance companies, as well as, maintaining related records for the department.

Major/Essential Functions
  • Processes referrals in a timely and efficient manner by following set processes for the department in order to meet department goals and expectations
  • Verifies and updates managed care plan and/or insurance information into patient chart accurately
  • Receives and resolves transferred calls from Contact Center appropriately
  • Scans all necessary documentation, forms, and patient information into the Electronic Medical Record (EMR) appropriately
  • Documents all referral and scheduling process in the Electronic Medical Record (EMR) appropriately according to set processes for the department
  • Consistent follow-up on open referrals to ensure completion within the expected timeframe in order to meet department goals and expectations
  • Explains the referral process to patients, providing clear directions, and documenting results of referrals appropriately
  • Assists in the training of RMS new hires on job duties and expectations
  • Adheres to all TTUHSC EP policies, procedures and processes
  • Personally demonstrate, display, and act in accordance with TTUHSCEP values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork)

Preferred Qualifications
  • Knowledge of basic office equipment and computer skills (PC, Telephone, 10-key, Excel, Power Point and Word)
  • Knowledge of the various managed care plans and private insurances
  • Knowledge of referral and authorizations process
  • Strong communication skills
  • Ability to interact effectively and efficiently with others
  • Ability to work in a busy, fast paced environment
  • Ability to understand and follow direction
  • Some knowledge of medical procedures
  • Ability to communicate effectively and professionally with a variety of people
  • Ability to work well with different levels of staff
  • Willing to work extended hours and on occasions on Saturday
  • Bilingual- English and Spanish

  • 3 years Customer Service, office or related experience, with 2 of those years in a healthcare or dental clinic setting preferred
