Major/Essential Functions
Supports the Values Based Culture and Service Plus philosophy of TTUHSC and Texas Tech Physicians of Lubbock to include the mission, vision and SPIRIT values.

Understands, cooperates with and supports all initiatives of our 5 Key Performance Indicators (KPI): Patient Satisfaction, Quality, Financial Performance, Business Development and People Development.

Maintains confidential files, records and financial data pertaining to assigned area of work.

Provides administrative support to Sr. Clinical Department Administrator, Residency
Coordinator, Administrative Medial Secretary and Unit Manager as needed.

Adheres to institutional and departmental policies and procedures.

Responsible for effectively communicating any Texas Alzheimers Research & Care Consortium (TARCC) related information to the TARCC Primary Investigator, Neurology Department Chair and Neurology Department Administrator.

Responsible for including the TARCC Primary Investigator and Neurology Department Administrator in any TARCC related emails and/or correspondence.

Schedules TARCC research participants for new and/or annual evaluations, MRI screening and Lumbar Puncture (LP) procedure.

Draws blood or schedules participant to have blood drawn for TARCC research blood specimen collection and mailing the specimen to appropriate TARCC location.

Responsible for maintaining and organizing TARCC participant folders in secured file cabinet to include the order and storage of TARCC supplies.

Responsible for TARCC recruitment of new participants and retention of established participants. Responsibilities include open communication with Primary Investigatory and Administrator. Recruitment efforts may consist of community presentations, and community outreach. Retention efforts include ability to go Above and Beyond to retain participants by utilizing Holiday, Thank You and Birthday Cards.

Proficient in Institutional Review Board (IRB) processes and protocols. Responsible for completing IRB paperwork and renewal applications.

Responsible for psychometric testing under the supervision of a Neuropsychologist, including administration and scoring, for participants in the TARCC Research Project.

Attend monthly TARCC coordinator calls and Neurology Departmental Staff Monthly Meetings.
Responsible to purchase SWIFT card and track each card. Responsible to log each card and which participant received a card. Turns in report each month to Administrator.

May travel to attend Annual TARCC meetings/conferences as needed and according to budget availability.

PROFESSIONAL DEVELOPMENT: Promote, assess, and evaluate the educational needs and requirements specific to your job discipline.

Is proactive/responsive to any other duties as assigned by Department Administrator to include possibility to cross-train to assist in other areas of the department such as administrative area, front office, nursing area or billing area.

Preferred Qualifications
Ability to complete and submit Institutional Review Board (IRB) forms/paperwork. Ability to follow and implement instructions - Excellent computer and interpersonal skills. - Knowledge of research techniques - Ability to establish and maintain effective working relationships. Capacity to perform varied and complex administrative duties under the supervision of the site PI/Project Manager; Ability and experience interacting with professionals from varied backgrounds in a clinical setting to facilitate an effective TARCC research platform. -

Certified Promotora or Community Health Worker (preferred); - Three-five years community-based project experience - Must possess effective verbal and written communication skills. - Bilingual in Spanish and English is mandatory.

Occasional Duties
Welcomes patients and/or visitors with a smile. Assists patients with check-in process, asks for patient identifier, and scans patient insurance card and other documents into Electronic Medical Record (EMR). Assists with completion of patient documents and answers questions. Updates Centricity (IDX) with appropriate patient and/or guardian demographic and insurance information for accurate billing and charge capture purposes.

During check-in process, ensures patients benefits have been verified by requesting current insurance card to verify correct insurance on file. Collects payment (to include any outstanding balance) indicated on instance.

Assists patients at check-out. Reviews patient 'Task List' and schedules any follow-up appointment or procedures ordered by physician.

Prepares and organizes daily deposits according to policy and procedure. Accurately calculates and collects patient payment at time of service during patient check-in and/or check-out. Documents collected funds correctly according to policy and procedure.

Answers all incoming calls via AVAYA telephone system. Distributes call to appropriate personnel or takes message and distributes via EMR or Outlook, whichever is appropriate. Meets expectations of telephone metrics; Abandoned Call rate, Patient Time on Hold in Queue Rate, Calls answered within 2 rings, and Length of Call Rate.

Prepares patient packets for daily appointments. Follows process and meets expectation to be one week out on packets.

Maintains all incoming messages via Cerner (EMR) and distributes information accordingly. Will respond to messages on a same day basis. Communicates accordingly with appropriate personnel.

Maintains Message Pool via Cerner (EMR). Responds daily to incoming referral requests. Follows Message Pool process.

Maintains all incoming faxes. Distributes accordingly. Follows Incoming Faxes process.

Maintains other folders as instructed.

Responsible for scheduling or rescheduling all patient appointments. Responsible for appointment reminder, bump and wait list on a daily basis. Work to fill any cancellations or vacant slots in physician schedules.

Coordinates and distributes or completes requests from after hour service/automated service.

Contacts patients and confirms next day appointments. Utilizes Patient Portal as a second source to communicate appointment date/time. Utilize Televox to determine which patients have already confirmed or cancelled appointment.

Sends physician Missed Appointment (No Show) letter via patient EMR. Utilizes Patient Letter via EMR to send patient notification of missed appointment via patient portal.

Works closely with faculty, residents, administrator, supervisor, nurses and technicians in ensuring consistent and smooth patient flow and/or clinic operations.
