Position Summary | TheCenter for Infectious Disease & Immunity (CIDI) is a research center underthe Office of Research. This positionwill overseesand administers programs, strategies, and initiatives designed to develop,enhance, and support the various day-to-day activities of an integrated servicedepartment. This position will beresponsible for fiscal, budgetary, and contract/grant management; develop andadminister operating procedures and processes; be responsible for generaldepartment administration and administrative requirements for pre- andpost-doctoral trainees. We areseeking a self-motivated individual, who will successfully ensure managementand that work is done on time, accurately and with excellence. This person must be able to workindependently, be able to multi-task, and be responsible for serving as theprimary liaison with faculty, staff, trainees, and members. Position requires self-management,ability to problem solve, and work with administrators from otherdepartments. Motivated to train oneselfvia the vast training resources available through the University and NIH tomaster job duties and remain current with ongoing updates. SpecificDuties Include: Oversees and coordinates the fiscal activities of the Center for Infectious Disease & Immunity (CIDI), to include participation in the planning and administration of the Centers operating budgets, contracts, and grants; participates in the overall fiscal planning for the department, to include UNM pre-award application submissions, creating and updating IBW budgets and Click ERA/NIH ASSIST records for grant submissions, administer Training grant via NIH eRA Commons, managing budgets and financial reports for grants/contracts, completing purchases and reimbursements, and booking travel. Manages daily administrative operations of for department, including using Banner, LoboMart, MyReports, ChromeRiver, completing purchases and reimbursements, book travel. Assists in and provides input to determining strategic objectives for the department, including research, trend analysis, and compilation and preparation of statistical, regular, and ad hoc reports; assists with program/project development. Participates in the formulation of department policies and operations; ensures that fiscal, administrative, and assist human resources practices are in compliance with university regulations; interprets university and department policies and advises staff and student on their provisions, regulations, and policies, and working with other departments at UNM- HSC. Oversees and coordinate pre- and post-doctoral fellowship trainee announcements, search, and final selection.Oversee and coordinates the associated requirements via eRA Commons, University contracts and documents to finalize connection with the University. Assist with employment and hiring process for full-time and part-time staff, enforcing AA/EEO policies and procedures for the department; may participate in staff searches; directs completion of forms and associated hiring paperwork. May accompany the CIDI Director at various policy-making and/or operating committees; may deputize for the Director on administrative issues as appropriate. May represent the center at public events. Serves as primary liaison and coordinator between the Director and other internal and external constituencies on strategic administrative and operational issues Oversees records maintenance and travel; administers building security, safety procedures to the operating environment and coordinates space assignments for the department. Manages and updates confidential files and records, ensuring that ethical and legal guidelines are maintained. May perform specialized activities of a programmatic nature in direct support of the accomplishment of program objectives and protocol. Performs miscellaneous job-related duties as assigned. Minimum Qualifications |
High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 1 year of additional experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis. |
Preferred Qualifications |
A Bachelors degree Accounting degree or minimum 5 years accounting experience. Accounting experience/background required Business management expertise Strong verbal and written communication skills. Experience and knowledge in the following areas is also preferred: Managing budgets and financial reports for grants/contracts/clinical trials Skilled in using Banner, LoboMart, MyReports, ChromeRiver or like systems (e.g. Costpoint, ) Completing purchases and reimbursements, book travel Preparing UNM pre-award application submissions, Create/update Excel spreadsheet templates (UNM IBW budget form) and UNM HSC Click ERA (Electronic Research Administration database) and NIH ASSIST records for grant submissions Post-award administration.
