Position Description
Manages a unit within a department. Plans, organizes and develops goals and procedures for the unit. Represents the unit to administrators, outside agencies and others on relevant matters. Supervises subordinate staff.

Major/Essential Functions
  • Responsible for the day-to-day overall operation of the Coding and Billing department. Develops and implements processes and procedures for the operation of the Coding and Billing division of the practice
  • Reviews CDT codes for accuracy resulting in appropriate reimbursement. Supervises and assist in the researching of discrepancies in patient accounts by revising if there is a coding or data entry error
  • Educates and trains staff and enforces documentation guidelines and proper staff usage of CDT codes for billable OHC while interacting with direct dentists. Educates healthcare provide regarding reimbursement methodologies, documentation rules and regulations related to coding
  • Must be able to read dentist records and review. Must return charts not able to code to dentists for clarification
  • Coding: Responsible for the supervision of two full-time Lead Coding and Reimbursement Specialist. Meets weekly or on as needed basis with coding and billing staff
  • Billing. Responsible for the supervision of the Sr. Specialist (Denials & Appeals). Ensures employees process appeals on claims denied by insurance companies in a timely manner and keep logs for tracking this activity
  • Responsible for daily and monthly billing reports to be discussed with Associate Dean for Clinic Affairs and Dir. Of Finance & Administration

Preferred Qualifications
  • In depth knowledge of CMS and Texas Medicaid and New Mexico Medicaid Rules and Regulations.
  • Extensive coding and billing experience in a multi-specialty group practice for Surgery, Orthopedics, Ophthalmology, Internal Medicine, Pediatrics, OB-GYN, Neurology, Family Medicine, Ancillary services and other sub-specialties for outpatient and inpatient.
  • Experienced in academic practice setting.
  • Knowledge of Centricity Business, GE EMR, Cerner EMR systems.
  • Ability to interact with physicians, non-physician practitioners and coding staff.
  • Ability to maintain meticulous records of audit activity.
  • Ability to write and compile meaningful reports.
  • Ability to compute rates, ratios, percentages, and to draw and interpret bar graphs.

Pay Statement
Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as, the institutional pay plan. For additional information, please reference the institutional pay plan on the Human Resources webpage.

Occasional Duties
  • Revises (adds, deletes, revises codes) the fee schedule as required by the student and faculty practice
  • Coordinates with PSS Supervisor to ensure patient registration, verification of patient demographics, and a data entry is completed accurately in a timely manner by assigned clinical staff
  • Supervises and assist in the researching of discrepancies in patient accounts by revising if there is a coding or data entry error
  • Performs audit on 10% of random charts per dentist per quarter. Also performs audit of Explanation of Benefits per major payer, paid or denied. This audit is used as a review for the coders
  • Develops and recommends systems to capture professional fees and proper codes for reimbursement that can result in increased collections rates and a reduction in the number of claim denials and rejections
  • Keeps track of approved coding reference material subscriptions for coding division and keeps up with new editions and orders the most recent edition of procedural and diagnosis codes, and fee reference books
  • Keeps informed on Medicaid Fraud and Abuse Compliance issues and attending seminars, and in services as necessary
  • Responsible for ensuring all faculty that see patients in the OHC are enrolled through DPIP Business Office. Responsible for enrollment and credentialing of dentists with insurance companies
  • Follow up with Texas Tech compliance office for issues that required attention for compliance purposes of the practice
  • Additional duties as directed by managing supervisor
