Overall Job Objective

What Success Looks Like In This Job

Perform clerical and other administrative duties as directed for the 17th Judicial District Crime Victim Compensation Program (CVC) pursuant to Colorado Revised Statutes and the Standards promulgated by the Colorado Division of Criminal Justice.

Examples of Duties for Success

Provide timely, accurate and appropriate responses for all initial and general CVC program inquiries received by telephone, email and/or in writing.

Send out written notifications to claimants and service providers of claim status, approvals, denials and CVC payments made.

Update CVC computer and electronic files with accurate information on a daily basis.

Send out written CVC materials upon request from claimants, service providers and at direction of the Director of Victim Programs. This includes application forms and brochures.

Conduct initial screening of all incoming CVC applications for claimant signature, completeness and type of request. Generate and send written confirmation of application receipt to claimants.

Organize timely delivery of materials to Board members for review prior to scheduled meetings.

Prepare and post CVC Board meeting notices.

Maintain updated telephone, address and email listings of service providers, law enforcement contacts and any other agency/person that is routinely contacted for claim processing.

Generate and send timely written confirmation of application receipt to claimants; generate and send timely written requests and call for further information/documentation regarding bills from claimants as determined necessary to prepare claim for Board review.

Complete administrative forms and update electronic files to accurately reflect CVC Board meeting decisions as directed by the Director of Victim Programs and in accordance with CVC Program policies and procedures.

Work collaboratively with crime victims and treatment providers to verify status of invoices, payments, and insurance to efficiently process claims; accurately document verification in CVC database and/or in electronic files as directed by the Director of Victim Programs and in accordance with CVC program policies and procedures.

Provide timely and accurate referrals to collateral agencies or programs for needs outside of the CVC scope.

SUPERVISORY RESPONSIBILITIES:
No supervision exercised.

Works under the direct supervision of the Director of Victim Programs.

Qualifications for Success

TO BE SUCCESSFUL, OUR IDEAL CANDIDATE SHOULD HAVE THE FOLLOWING KNOWLEDGE, SKILLS AND ABILITIES:

  • Considerable knowledge of general office procedures and equipment.
    Excellent computer skills with proficiency in Microsoft products, including Microsoft Excel and Microsoft Word.

  • General knowledge of spelling, punctuation, and how to conduct simple mathematical calculations.

  • Ability to exercise attention to detail in performing assigned work tasks, including transcribing, summarizing, and verifying documents and forms for accuracy and completeness.

  • Ability to understand and follow oral and written instructions accurately and in a timely fashion with limited direction supervision.

  • Ability to establish and maintain productive and positive working relationships with Deputy District Attorneys, other District Attorney employees, medical and mental health providers, victims of crime, criminal justice system personnel and general public.

  • Ability to keep confidential matters confidential; demonstrates ethical use of skills and knowledge privy to through employment.

  • Demonstrate competency in explaining the Colorado Crime Victim Compensation program, including statutorily eligibility and reporting requirements.

  • Knowledge to assist victims in the completion of a Crime Victim Compensation applications, and ability to answer general questions regarding the compensation process, including eligibility requirements, paperwork process and compensable losses.

  • Knowledge of criminal justice system and procedures specific to the 17th Judicial District and a working knowledge of Victim's Rights Amendment as set forth by Colorado statutes.

  • Knowledge and awareness of appropriate referral to services available to victims and witnesses in the 17th Judicial District i.e. social services, law enforcement victim assistance, community mental health.

  • Demonstrates an understanding of the impact of criminal victimization including consideration of the potential emotional, psychological, and physical needs victims may experience as participants in the criminal justice process. Routinely incorporate this knowledge in written, personal or telephone contact with victims and witnesses.

  • Requires the ability to apply rational systems to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; to interpret a variety of instructions furnished in written, oral, diagrammatic, or schedule form.

  • Requires the ability to record and deliver information, to explain procedures, to follow oral and written instructions. Must be able to communicate effectively and efficiently in a variety of professional and technical languages including legal, medical, and counseling terminology.

  • Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable in performing under stress and when confronted with persons acting under stress.
    Able to maintain composure and focus when dealing with difficult and emotional people.

    QUALIFICATIONS FOR SUCCESS:
    Associates degree in criminal justice, social science, human services, or related field, and 1-2 years of experience, preferably involving work with victims of crime; or any equivalent combination of training and experience which provides the required knowledge, skills and abilities.

  • Bilingual Spanish/English preferred.
