Job Description

We are currently interviewing for an Administrative Assistant/ Assistant Community Manager to add to our distinguished team of client service professionals. The HOA Administrative Assistant will provide exemplary day-to-day support services to a team of Community Managers and a portfolio of community associations, which may include Homeowners, Condominium, Townhome and Developer-Controlled associations. Superior client service, written and verbal communication, and organizational skills are required.

Additional responsibilities include the following:

  • Support a team of assigned Community Managers in the day-to-day administration of their respective portfolios, including processing and mailing time sensitive homeowner notices, newsletters, and other correspondence; managing rolling open items lists and providing aggressive follow-up and reporting through closure; addressing homeowner concerns and requests via telephone and email; scanning and filing of key association documents.
  • Work closely and productively with the rest of the Trestle team, including the other assistants, community managers, accounting, and operations teams.
  • Attendance at periodic Board meetings, generally held in the evenings, to assist the Community Manager and Boards in conducting the business of the community association.
  • Demonstrate flexibility in dealing with simultaneous tasks.
  • Maintenance of a positive attitude, patience, and tact, and commitment to superior client service, despite the occasional challenges inherit within this industry.

You must be motivated and reliable, with exceptional interpersonal and communication skills as well as have the ability to work independently with exceptional attention to detail, and strong multitasking, time-management and prioritization skills. Specific qualifications for the Assistant position include:

· High school diploma or equivalent

· Minimum 2 years’ experience in a busy office environment

· Experience with a wide range of office software, including full Microsoft Office suite, phone system, web conferencing tools, basic website/web page management, tablets, etc.

· Strong interpersonal etiquette and diplomacy

· Positive and collaborative attitude
