JOB DESCRIPTION
Job Title: Administrative Assistant I Status: [full/part time]
Exemption Status: Non-exempt Salary Grade: 23
Department/Location: Diocese of Tucson Catholic Cemeteries / Tucson, AZ
Primary Function: Under the direction of the business manager, or other assigned manager is responsible for providing secretarial and administrative support and for performing other varied functions as necessary in a Cemetery. The Employee shall be a minister of the Gospel and Catholic Teaching behaviorally while at work and in his/her personal life, "Live in a manner worthy of the call you have received." (Eph. 4:1)
The primary responsibility of the Administrative Assistant is to provide support to the accounting department, track customer service issues and solutions and oversee general office operations to ensure that each department has the support needed to successfully meet their goals.
Essential Duties and Responsibilities:
- Recognize and support the unique Catholic Mission of the Diocese by speaking, acting, and instructing consistent with the teachings of the Roman Catholic Church. The employee may not espouse, in word or deed, any doctrine inconsistent with the teachings of the Roman Catholic Church.
- Give evidence of living Gospel values by being an active member of a faith community and being open to the importance of a personal faith journey; strive to model the teaching of Jesus by attitude and example.
- Performs in support of the Catholic Cemeterys Mission
- Works collaboratively in a positive, friendly, and professional manner with all employees and with others served.
- Provide support for Human Resources and Payroll processes including following all policies, procedures, and the maintenance of required files.
- Provide basic accounting support including coding and data entry of invoices and posting of customer payments.
- Create and maintain documents and files that support the administrative needs of the cemetery operations.
- Maintain confidentiality of all transactions and information related to cemetery records.
- Document, track and confirm resolution of escalated customer service issue calls.
- Coordinate meetings as requested; assist in planning and execution of Cemetery Community events.
- Order office and kitchen supplies as needed.
- Participate in special events organized and held at the cemetery such as Memorial Day Mass, All Souls Day Mass, Advent Mass, and others as scheduled. Special Event assignment duties is varied and assigned by management prior to the event.
- Perform other duties as assigned by Management.
Physical / Mental Requirements: Requires coordination and manual dexterity, normal mental and visual ability; ability to lift as required in normal office environment. Exposure to outdoor activities
Required Activities: Walking, sitting, standing, stooping, reaching, talking, hearing, carrying, and keyboarding. Withstand exposure to extreme temperatures when required tasks involve being on the grounds of the cemetery.
Basic Qualifications:
- Attention to detail and well organized.
- Perform multiple tasks simultaneously and work with a sense of urgency.
- Exceptional follow-up skills essential
- Excellent communications skills including written and verbal.
- Ability to maintain confidentiality with regards to records and services.
- Project management skills and ability to manage multiple projects simultaneously.
- The ability to work under minimal supervision.
- Professional attitude, appearance and attire required.?
Education and Experience:
- High School Diploma
- 3-5 years of work experience that includes administrative tasks, worksheet tracking, basic bookkeeping and customer service
- Microsoft office proficiency to include Outlook, Word, and Excel
- Experience with multiple management system software platforms a plus
Other Skills and Abilities:
- Bi-lingual (Spanish, English) preferred.
