ADMINISTRATIVE ASSISTANT TO HR DIRECTOR
Job Description
The Administrative Assistant to the Human Resources Director performs a variety of administrative support work
for the Human Resources Director and the Human Resources Department, including the Risk & Occupational
Safety and Health department. This includes supervising secretarial and clerical staff to ensure the smooth and
efficient operation of the office. The HR Administrative Assistant also provides direction, guidance, and support
to the clerical pool on issues, policies and procedures related to the Human Resources Department or other
departments within the Community.
ESSENTIAL FUNCTIONS: Prepare operating budgets, oversee budget expenditures, and prepare budget revisions or modifications as
needed; maintain accounting records on department budgets, cuff accounts, travel records for all areas under
the direction of the HR Director.
Develop, maintain, and retrieve spreadsheets and/or databases necessary to prepare monthly, quarterly and annual
reports.
Authorize vouchers and/or purchase orders; oversee the preparation of monthly billing; order supplies and
equipment; solicit and review bids; and oversee maintenance of equipment.
Maintain calendar for HR Director; schedule meetings; prepare travel arrangements; ensure Director is provided
with regular updates on compliance issues and contracts. Maintain pertinent files for the HR Director.
Prepare and process reporting package submittals to any Standing Committee that the HR Director is reporting
to and also to the Community Council to be placed on their agenda.
Prepare requisitions and vouchers for approval; order supplies and equipment; work directly with Procurement
on procurement issues; maintain equipment inventory and oversee maintenance of office equipment located
within Human Resources and OSH areas, oversee processing of maintenance requests for all areas of the
Human Resources Department; maintain key control.
Supervise secretarial and clerical staff including directing administrative tasks, prepare performance
evaluations, time and attendance for administrative employees under the Administrative Assistant’s
supervision.
