This position requires that you must possess a valid Arizona driver's license (minimum of Class D) upon employment and maintain throughout employment. Post-offer of employment, selected candidate must possess an acceptable driving record which is 5 or fewer points in the most recent 39-month period from date of hire.


This position is considered safety/security sensitive and will include a fingerprint check. Employment is contingent upon successful passing of all background, including fingerprint checks.

Job Description:

Capital Programs Management Group seeks a Closeout Specialist Sr to coordinate and communicate with General Contractors and Design Professionals to gather and file all the contractually-required documents for FDM’s capital projects.


Essential Duties:

  • Coordinate directly with external companies (General Contractors and Design Professionals) to ensure documents are collected, verified and saved to project folders.
  • Coordinate with internal staff including Capital Project Managers, Capital Planning Services, and ASU Permitting.
  • Interpret requirements and authorize exceptions to policy within defined limits.
  • Coordinate or perform data collection, analysis, reporting, documentation and other duties to ensure accurate and timely processing or development of required reports.
  • Recommend new or revised document-handling procedures.
  • Coordinate and implement approved changes in procedures affecting assigned function.
  • Update affected procedure manuals.
  • Maintain unit documents such as spreadsheets.
  • Ensure adherence to procedure and monitor/checks for accuracy.
  • Coordinate, schedule and track progress of obtaining and verifying vendor documents.
  • Respond verbally or in writing to inquiries, complaints, or problems and make necessary adjustments.
  • Act as the primary contact for vendor documents with our vendors.
  • Respond to administrative questions and ensure necessary follow up.
  • Participate in special projects with staff as directed.

DAYS AND SCHEDULE: Monday – Friday, 8:00 am – 5:00 pm


Salary rate: $21.73 - $22.68 per hour. ASU offers a comprehensive benefits package with the State of Arizona.

Working Environment:

Activities are primarily performed in a regular, climate-controlled office setting subject to extended period of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Frequent bending, reaching, lifting, pushing, and pulling up to 25 pounds.


Minimum Qualifications:

High School Diploma and three years (3) experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.
