Job Description

ASU’s School of Civic and Economic Thought and Leadership (SCETL) is looking for a highly motivated and dynamic individual to join the Events team. This position will report to the Events Coordinator Senior and will assist in the scheduling and coordination of public and academic events, seminars, and conferences. Under general supervision, organizes and coordinates activities, functions and programs in accordance with priorities, time limitations, funding limitations or other specifications. Required to maintain a flexible work schedule in order to coordinate and attend evening and weekend events.

 

Salary Range

$37,600 - $47,000 per year; DOE

Essential Duties

·       Assists in the development and execution of an event work plan

·       Performs tasks related to event coordination including the scheduling of facility and campus services

·       Assists coordinating with both internal and external event-related vendors and staff

·       Attends events and ensures assigned aspects of events are implemented according to plans.

·       Assists in maintaining records on event activities, progress, or status

·       Maintains event calendars, updating as necessary

·       Maintains event RSVP lists and tracks attendance; prepares name tags and dinner cards as needed

·       Assists in the set-up and tear-down of displays and promotional materials 

·       Assists with data entry in event management software to adhere to ASU policies and procedures

·       May assign tasks and supervise student workers as needed for event activities

·       May assist with post-event reconciliation with the Business Operations staff.

·       Assists in problem resolution and answers questions; refers to appropriate department when unable to respond

·       Provides assistance and information to faculty, staff and outside organizations

·       Complete other duties, as assigned

 

Minimum Qualifications

Associate's degree in Public Administration, Business Administration or a related field and two years of event planning and coordinating experience; OR,Four years of public relations and event planning/coordinating experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved.

 

Desired Qualifications

·       Evidence of a Bachelor’s degree preferred

·       Experience in planning and executing both small and large scale formal events on and off-site

·       Experience in managing concurrent events/projects simultaneously, demonstrating excellent time and project management skills

·       Experience using event registration software, such as Aventri

·       Experience in offering excellent customer service in a fast paced environment to multiple audiences

·       Experience in work that required excellent attention to detail

·       Evidence of effective communication skills

·       Experience with ASU campus and event

·       Demonstrated working knowledge of IT/AV tech systems

 

Working Environment

·       Most activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse

·       Required to stand for varying lengths of time and walk moderate distances to perform work

·       Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds

·       Ability to clearly communicate to perform essential functions.

·       Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.

·       Receive regular review of assignments for adherence to established goals and objectives.
