Job Description

Under general supervision, manages accounts and financial functions for a large department or departments in a complex academic unit or department with significant research, operations, and instructional emphasis. These functions include but are not limited to maintaining and retention of unit financial documentation and files; account management; financial services compliance; internal controls; and other functions designated by unit administrator. Directly impacts the University goal of increasing research expenditures through the effective management of accounts.


Salary Range

$50,823 - $60,000 per year; DOE

Essential Duties

  • Works closely with unit administration to implement departmental financial activities to ensure adherence with college and university policies, practices and regulations. May supervise, train and evaluate assigned staff and/or student workers. 
  • Responsible for the financial processes for the assigned department(s) or unit, resolves financial discrepancies and works as a liaison between the unit and Financial Services to reach a solution. 
  • Creates and closes general ledger accounts, prepares revenue/cash deposits, allocates procurement card expenditures, processes grant documents after awarded, processes ASU Foundation payments and transfers. 
  • Prepares journal entries and general ledger expense transfers. Manages and analyzes purchase orders for assigned area. 
  • Prepares and conducts billing and invoicing, budget adjustments and amendments, payroll redistributions, account reconciliations, reviews and approves travel requests, manages position funding as related to the budget. Processes a heavy volume of financial transactions from multiple funding sources, (i.e. state, local, grant). 
  • Determines budgetary impact of salary actions and works closely with the unit financial administrator to review account expenditure requests and provide expenditure approvals in accordance with established financial guidelines and policies. 
  • Ensures maintenance of appropriate financial records based on ASU, state and federal guidelines.
  • Oversees and manages the response to internal and external audit requests and prepares audit documents; Advises and assists management and staff on finance and expenditure policies and procedures. 
  • Participates in a variety of departmental, college, and university-wide initiatives and meetings to represent unit's interests in the area of finance and to ensure an integrative/collaborative support of unit and university interests. 
  • Performs other duties as assigned to ensure the continuity of department operations and to meet customer service needs.


Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience, OR, seven (7) years of related experience, OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Experience in planning and establishing priorities.
  • Experience in establishing and maintaining effective working relationships.
  • Evidence of effective communication skills. 
  • Experience working effectively in an environment subject to quickly changing priorities, sensitive information and short deadlines. 
  • Experience in developing and maintaining cooperative working relationships both within and across organizational areas.
  • Experience in leading by example in communicating, participating and encouraging support of the institution's sustainability programs. 
  • Experience in working effectively and collaboratively with faculty, staff and students.
