          JOB SUMMARY

          Provides operational and technical support to Fleet Services projects and programs to ensure services comply with policies, procedures, specifications, contracts, and industry standards. Incumbents will schedule and coordinate vehicle needs and movement between Fleet and departments; plan, organize, and coordinate inventory to ensure optimum inventory and efficient distribution of supplies, materials, and equipment; creating and managing repair and maintenance records; Interface directly with customers, contractors, and vendors to address vehicle and maintenance needs.

          TYPICAL CLASSIFICATION ESSENTIAL DUTIES:
          • Perform essential tasks in the operational support of Fleet Service functions.
          • Coordination and scheduling of county vehicle maintenance and repair processes and procedures
          • Communicates with all internal departments and external vendors to complete all essential duties.
          • Maintains inventory and work order management systems with accuracy and efficiency.
          • Manages processes involved with warranty repairs and parts replacements.
          • Uses an Electronic Fleet Information Management System to maintain records of:
            • Vehicle repairs and maintenance
            • Asset and inventory management
            • Billing accuracy of work orders including parts and labor
            • Warranty information
            • Other appropriate information as needed
          • Performs minor parts replacements on vehicles and equipment, such as batteries or wiper blades.
          • Works in accordance with generally accepted automotive shop safety procedures and reports unsafe conditions and activities to supervisory staff.
          • To promote and adhere to the workplace values of accountability, commitment, and teamwork to foster a collaborative workplace culture.
          • Maintain absolute confidentiality of work-related issues, customer records, and restricted County information.
          • Perform other related duties as required.
          POSITION SPECIFIC DUTIES:
          Fleet Services Service Writer;
          • Coordinates communication and scheduling of all fleet vehicles to include vehicle preventative maintenance, vehicle repair work, vehicle warranty work, and vehicle availability.
          • Creates and manages repair and maintenance work orders for fleet vehicles, ensuring billing and parts accuracy.
          • Conducts quality control checks on completed work to ensure standards are maintained.
          • Interacts with county departments to address vehicle issues, provide updates, and resolve concerns.
          • Reserves, dispatches, and manages motor pool vehicle usage and maintenance to meet operational needs.
          • Performs administrative tasks such as preparing operational and technical reports and maintaining service documentation.
          Parts Specialists;
          • Orders and maintains inventory of automotive parts, lubricants, and supplies as needed for repairs.
          • Prepares cost estimates for repairs and maintenance based on initial diagnostics.
          • Verifies, orders, tracks and receives parts and equipment for vehicles and systems.
          • Orders and maintains miscellaneous shop and safety supplies and tools used in support of Fleet Services.
          • Coordinates operational activities with inter-department personnel and vendors to assure optimal use of available resources and to minimize disruption of service or support.
          • Performs administrative tasks such as preparing inventory reports for physical cycle counts and setting/monitoring minimum/maximum levels of inventory.
          Minimum Requirements

          MINIMUM REQUIREMENTS TO PERFORM WORK:
          • High school diploma or GED equivalent.
          • A minimum of two years of experience performing one or more fleet operations functions including:
            • Ordering, receiving and issuing automotive parts and supplies in a commercial, automotive repair facility
            • Reserving, dispatching, or maintaining motor pool or rental vehicles
            • Creating automotive repair and maintenance work orders
            • Completing minor repairs and maintenance of motor vehicles
            • Direct interface with customers of a commercial vehicle repair facility or a large (100 vehicles) fleet operation
            • Valid Arizona State Drivers License.
          • Preferred Qualifications:
            • Technical certifications from the National Institute for Automotive Service Excellence (ASE).

          • Knowledge of maintenance requirements of light/medium automobiles and trucks.
          • Knowledge of parts, equipment, and supplies used in the repair and maintenance of light/medium automobiles and trucks.
          • Knowledge of applications of automated work order systems.
          • Knowledge of generally accepted fleet management policies, procedures, and record keeping practices.
          • Knowledge of general industry OSHA standards.
          • Ability to evaluate vehicles and recommend repair and maintenance.
          • Ability to read and interpret work orders, technical specifications and vehicle repair/maintenance manuals.
          • Ability to effectively use electronic fleet management software to perform applicable job duties.
          • Ability to communicate effectively orally and in writing in the English language.
          • Ability to collaborate with internal customers.
          • Ability to perform basic vehicle repairs and maintenance.
          • Ability to perform basic arithmetic calculations.
          • Ability to perform duties safely in accordance with generally accepted safety standards.
          • Ability to understand and follow moderately complex oral and written instructions in the English language.
          • Ability to accurately perform a wide variety of duties in a timely manner.

          PHYSICAL DEMANDS:
          The work is light and requires exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects. The work also requires the ability to finger, handle, reach, perform repetitive motion, lift, speak, hear, walk, and demonstrate visual and mental acuity.

          WORK ENVIRONMENT:
          Work is performed in a relatively safe, secure, and stable work environment.

          The hiring salary for this position is dependent upon experience, qualifications and position funding; starting salaries above the first quartile require additional approval.
