Job Description

Under general direction, serves as primary contact and liaison between assigned academic unit graduate advising staff and Graduate College to facilitate successful completion of course of study for graduate students. The successful candidate is responsible for coordinating the support functions for graduate students and works directly with academic and administrative office staff across the university to resolve student and automation issues.


Business hours for the Graduate College are Monday - Friday, 8:00 a.m. - 5:00 p.m.

Essential Duties

  • Acts as a liaison between the Graduate College and assigned academic unit graduate advisors. Initiates, develops, and sustains positive relations with graduate directors and graduate support staff
  • Advises academic unit heads, committee chairs, faculty, and staff on graduate student issues and processes, including but not limited to:
  • Inquiries regarding program requirements
  • Interpretation of policies, 
  • Strategies to assist student progress towards completion.
  • Review of petitions for exceptions or changes; performs research and fact finding to ensure a thorough understanding of the request
  • Evaluates and analyzes services related to document review and analysis, including foreign transcripts and documentation.
  • Reviews and approves all graduate student plan of study (iPOS) to ensure compliance with established degree requirements including, but not limited to: coursework, committee and culminating experience; identifies and resolves discrepancies to ensure plan is consistent with program.
  • Schedules, leads, and facilitates regular status meetings with academic unit advisors; prepares informational materials and presentations, responds to inquiries regarding policy interpretation and/or exceptions. Provides training and customer service to graduate support staff.
  • Works closely with Assistant Director and Executive Director to develop ideas, concepts, and tactics necessary to further understanding, support, and awareness of complex issues. Develops recommendations for improving accuracy and efficiencies.
  • Provides analytical reports to academic unit advisors of activity; works closely with analytics function to request ad hoc and/or custom reports based on stated needs of academic unit advisors.
  • Works closely with Graduation Office during semester close; verifies students applying for graduation; confirms completion of all requirements; confirms that links to final theses/dissertation/defense are active to ensure smooth transition to graduation.
  • Researches, prepares and implements special projects as assigned.
  • Performs all other duties as assigned

Minimum Qualifications

Bachelor’s degree in a field appropriate to the area of assignments and three (3) years’ administrative or program coordination experience OR, any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved.

  • Evidence of a Master's degree.
  • Experience with academic advising in a higher education setting.
  • Experience utilizing PeopleSoft, AppXtender, Analytics, Zoom, Google Docs/Sheets.
  • Experience interpreting ASU Graduate College policies and procedures.
  • Demonstrated knowledge of the ASU interactive plan of study (iPOS).
  • Experience providing support to graduate students.
  • Demonstrated knowledge of academic programs, colleges and departments university-wide.
  • Experience in rapidly adapting to change and effectively using technology, as well as utilizing new technology, practices, policies and methods.
  • Experience in organizing and prioritizing work activities.
  • Experience in establishing and maintaining effective working relationships.
  • Experience in demonstrating sensitivity to needs of diverse populations.
  • Experience in applying the principles, techniques and methods of teamwork, compromise and collaboration to produce desired outcomes.
  • Evidence of effective verbal and written communication skills.
  • Experience presenting to groups.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.
  • Required to walk or travel moderate distances to perform work.
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
