Definition

Definition: Under general supervision from the HHS Supply and Procurement Manager, provides supervision and oversight of the HHS Central Supply daily operations, Assists the HHS Supply and Procurement Manager in the development, implementation, and maintenance of HHS inventory control system and procedures to account for all assigned equipment, materials, supplies, and tool assets. Manages, oversees, and trains warehouse staff on proper inventory control procedures and disposal of excess, broken, and obsolete supplies, tools, and equipment. This job class is treated as FLSA Exempt.

Examples of Tasks

1. Central Supply Warehouse Management: Manages and oversees warehouse operations for divisions and programs assigned to the HHS Department.
  • Manages, and oversees HHS Central Supply staff.
  • Provides leadership and training to assigned staff on all warehouse and inventory control requirements.
  • Determines and establishes work priorities for all phases of warehouse operations.
  • Develops and implements a plan to consolidate warehouse operations for assigned programs and divisions.
  • Plans, prioritizes, and oversees staff workflow and inventory reconciliation schedules.
  • Develops and maintains operating procedures for all warehouse functions.
  • Ensures warehouse staff are properly trained on the proper use and operation of warehouse related equipment and safety practices.
  • Conducts timely performance appraisals and counsels subordinates on ways to improve their performance.
  • Develops, implements, and maintains a computerized warehouse management system to accurately account for all program and division-related tools, machinery, and equipment.
  • Assists in developing geometric layout of warehouse storage and work areas to facilitate efficient cataloging, retrieval, issuance and return of program-related equipment, materials, tools and supplies.
  • Works with the HHS Supply and Procurement manager and warehouse staff to identify and prepare long range goals/objectives to support future warehouse needs.

2. Asset/Inventory Control: Oversees inventory processes including procurement, intake, tagging, and tracking of program-related equipment, material and supply assets.
  • Oversees the warehouse receiving, physical inventory, digitizing, cataloging, recording, disposition, and disposal of warehouse assets using a computerized warehouse system.
  • Ensures materials, supplies, and equipment are received, inspected, identified, stored, and issued in accordance with established policies and procedures.
  • Maintains an inventory re-supply process that enables high use items to be maintained in bulk and reordered in a timely manner to avoid supply shortages.
  • Ensures supplies are functional, safe, and properly marked prior to distribution or storage.

3. Material Control Record Keeping: Establishes, maintains, and improves record keeping procedures; accounting for all purchases to enable timely and accurate retrieval of necessary documents.
  • Prepares reports and correspondence to respond to inventory related inquires and concerns.
  • Coordinates pick-up and delivery of equipment, materials, and supplies.
  • Ensures equipment, materials, and supply orders are tracked during shipment and tagged/recorded upon delivery.

4. Division Planning & Communication: Participates in regular meetings with HHS Central Supply staff to review and plan for upcoming material needs.
  • Develops reliable and consistent communication with internal and external SRPMIC customers and HHS Central Supply staff.
  • Assists in development of comprehensive goals to improve customer satisfaction and service delivery to the Department and the Community.

5. Miscellaneous: Performs other job related duties as assigned by the Engineering and Construction Services Director and Assistant Director.

Knowledge, Skills, Abilities and Other Characteristics:

  • Knowledge of the culture, customs, traditions, history and government of the Salt River Pima-Maricopa Indian Community.
  • Knowledge of a wide variety of supplies, tools and equipment and industry related terminology.
  • Knowledge of established inventory control requirements and guidelines of the SRPMIC.
  • Knowledge of the principles and techniques for inventory control.
  • Knowledge of warehousing procedures including the receipt of equipment and supplies.
  • Knowledge of appropriate safety practices and corrective actions.
  • Knowledge of principles and practices of personnel supervision, training, and performance evaluation.

  • Skill establishing and maintaining effective working relationships with co-workers, supervisory staff and outside vendors.
  • Skill establishing and maintaining accurate record-keeping system for ease in retrieval of necessary inventory control documents.
  • Skill maintaining the workplace and cleaning the storage area to maintain a safe working environment.
  • Skill using the personal computer and related software, including MS Office, plus general office equipment such as ten-key adding machine, copier and scanner.

  • Ability to supervise and train assigned staff.
  • Ability to utilize established inventory control procedures and processes for tools, supplies, and equipment.
  • Ability to use eye-hand coordination, sit for extended periods of time and work under frequent deadlines.
  • Ability to communicate effectively verbally and in writing.
  • Ability to transfer information from hard-copy documents into computer data base for processing.
  • Ability to operate a vehicles and office machines.
  • Ability to maintain accurate records.


Minimum Qualifications

Education and Experience: Associate's Degree in inventory control, accounting, procurement, inventory management, or closely related field.
  • Two (2) years full time experience in warehousing, inventory management, and one (1) year supervisory experience.

Equivalency: Any equivalent combination of education and experience that will allow the applicant to satisfactorily perform the duties of the job may be considered.

Underfill Eligibility: An enrolled Community Member whom closely qualifies for the minimum qualifications for a position may be considered for employment under SRPMIC Policy 2-19, Underfill.

  • Must possess and maintain a valid Arizona Driver's License
