The Department of Emergency Medicine, Education Office, is seeking a professional, highly organized, customer service focused, Medical Education Program Assistant 1. Under general supervision by the Medical Education Program Manager this position will be responsible for the daily administrative aspects and coordination of the Emergency Medicine Clerkships and Physician Assistant Post Graduate Program.
This is an administrative position in an education-centric department. We house the 4th largest residency program in the institution, with two ACGME-as well as additional non-ACGME fellowships.

The optimal candidate has experience in program coordination or administrative support in a similar environment. They will have proven experience working in diverse teams; able to communicate at a professional level; manage multiple tasks simultaneously; and have impeccable organizational skills. They will be self-motivated, have a specific talent in customer service and adhere to confidentiality practices.


Specific Responsibilities include:
The Program Assistant will help the Program Manager and Clerkship Directors create schedules, send alerts and reminders, collect evaluations for students, tracks student progress and completion of requirements, coordinate with faculty to update curriculum and student information each month, and create schedules for medical students rotating in Emergency Medicine.

The program Assistant has primary responsibility for Phase 3 program including reviewing applications in VSAS (medical student database), coordinating visiting student rotations and UNM student electives. This also included distributing and collecting evaluations and submitting grades for the Clerkship Directors

The Program Assistant will also serve as Purchasing Card holder to complete purchases for educational events and educational materials for learners within our department (students, Residents, and Fellows).

Process financial reports through UNM financial system (purchasing, reimbursements, purchase orders).

Schedule meetings and reserve rooms and provide other administrative support for the unit including providing support and direction for student employees.

Coordinate annual program recruitment initiatives for our Physician Assistant Post Graduate Program.

Create reports for biannual clinical competency committee meetings using data management systems.

Serve as administrative liaison to internal and external departments and agencies pertaining to resident and program specific administration. This includes ACGME, GME Office, Learning Environment Office, Emergency and other clinical departments, Emergency Medical Services Consortium, Occupational Health, Office of University Council.

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

-Advanced proficiency in Microsoft Office Suite, including Outlook.
-Experience with calendar creation systems or related software.
-Knowledge of database management.
-Excellent customer service.
-Advanced organizational skills.
-Demonstrated ability to multitask and prioritize competing requests on a daily, weekly, and monthly basis.
-Outstanding interpersonal skills.
-Strong written communication skills, as demonstrated by cover letter.
