Overall Job Objective

Summary

Under general supervision, performs a variety of administrative support functions for the Ak-Chin Runner newspaper staff.

Minimum Qualifications

Experience equivalent to three years full time office support involving secretarial, bookkeeping, or closely related work; OR completion of a post high school course/program in Office Administration, Accounting, General Business, or closely related area may substitute for one year of the required experience. Must be able to lift 50 lbs. Must have a valid Arizona Driver's License and be able to meet the Community's insurance carrier requirements. Must successfully complete a background check.

Examples of Duties

  • Maintains and updates the subscription list. Ensures that subscribers and their addresses are correct and valid.
  • Uses computer software to format and combine text, numerical data, photographs, charts, and other visual graphic elements to produce/print publication-ready material.
  • Prepares and mails accurate invoices each month for customer orders, subscribers, display, classified and other advertisements.
  • Sends out late notices to advertisers/customers as needed.
  • Updates and maintains invoices, handles financial transactions and recordkeeping.
  • Records all transactions, post credits, produces financial statements, and prepares reports and summaries for supervisor.
  • Fields follow-up questions from customers and resolves any discrepancies or errors.
  • Obtains, submits and ensures that printing requests are completed and delivered.
  • Organizes and maintains files/records for supervisor/unit, following up on pending orders.
  • Creates and updates deadline calendars, ensuring holidays coincide with community holidays and deadline information is accurate.
  • Requisitions supplies and inventories deliveries.
  • Coordinates conference attendance and travel arrangements.
  • Answers a variety of questions from the public regarding printing costs, subscriptions, rates, advertisements, etc.
  • Establishes and maintains effective working relationships with other staff, department heads and the public.
  • Performs other work-related duties as assigned.
Other Requirements

  • Knowledge of budgetary procedures and bookkeeping.
  • Knowledge of the principles and practices of office management.
  • Knowledge of a variety of computer software, including word processing, database and spreadsheet applications.
  • Skill in preparing a variety of records, reports, and correspondence using appropriate format and computer software.
  • Skill in analyzing and interpreting policies and procedures to staff and the public.
  • Skill in maintaining filing/records systems.
  • Skill in following complex oral and written instructions, policies and procedures.
  • Skill in operating a variety of office equipment, including work processor, computer terminal, typewriter, adding machines and telephone.
  • Ability to perform addition, subtraction, multiplication and division, calculate decimals and percentages; and may include ability to perform mathematical operations with fractions, compute discount, interest and ratios.
