Office Assistant

Mesa, AZ

A sign-on bonus of 5% of the annual salary is being offered

CPLC Centro Esperanza offers specialized services for SMI populations focusing on case management and psychiatric services.

OBJECTIVE AND POSITION SUMMARY

Assist in maintaining consumer files and statistics; respond to requests for medical records; perform clerical duties.

MINIMUM QUALIFICATIONS AND COMPETENCIES
  • High school diploma or G.E.D. equivalent. Some experience from which knowledge and skills can be utilized to perform general clerical work.
  • Able to obtain fingerprint clearance card.
  • Have excellent phone etiquette, be customer service driven, and be able to multitask.
  • Must have written and verbal communication skills.
  • Able to work with minimum supervision, knowledge of MS Office (Word, Excel, Outlook, Access)
  • Prepare a new consumer file once the Site Director has signed off on the assessment.
  • Maintain, store, and ensure proper documentation of consumer files
  • Respond to and prepare the legal request for consumer records


PRIMARY DUTIES AND ESSENTIAL FUNCTIONS

Maintain open and/or closed consumer files.

Schedule members' appointments, ensure service tickets are in order, and collect and validate insurance information.

Retrieve files for scheduled appointments

Records no-show and appointment changes.

File all consumer data upon receipt.

Collects, monitors, and enters data/information into the computer systems.

Acts as receptionist, receives/escorts visitors, and handles matters as directed.

Prepare consumer files for internal and external audits

Coordinate with staff and clinical staff to ensure proper documentation of consumer files

Submit monthly reports

Maintain logs for outgoing and incoming fax, PCP, a notice of action, and intake/discharge.

Assist with other administrative duties as needed

Attend meetings as assigned or directed

Prepare and process SMI packets

Perform other duties as assigned by Management

Effective January 3, 2022, all CPLC Employees and all Service Providers must be Fully Vaccinated against COVID-19.
