    DEFINITION: The Payroll Specialist is responsible for the accurate and timely processing of payroll for all school district employees. This position ensures compliance with applicable laws, contracts, district policies, and reporting requirements. The specialist works closely with HR, business services, and employees to resolve payroll-related issues and maintain accurate payroll records.
    ESSENTIAL FUNCTIONS:

    • TASKS:
    • Prepares, processes and balances all payroll issues and records for the District
    • Respond to employee inquiries regarding payroll, leave balances, paychecks, and W-2s
    • Verify time and attendance records, overtime, stipends, leaves, and other payroll adjustments
    • Process new hires, terminations, salary changes, and contract updates in payroll systems
    • Maintains records for leave of absence and accruals and provides information to the Benefits Department
    • Verifies information and codes pertaining to payroll
    • Reconcile payroll reports and resolve discrepancies in a timely and professional manner
    • Assists new employees with filling out forms and checking forms for accuracy
    • Maintains payroll files and documentation in accordance with retention policies
    • Coordinates with Human Resources on supplemental pays, new hires, terminations and position changes
    • Operates and monitors the reception desk as needed
    • Assists with year-end closing, preparation of W-2 forms and audit documentation
    • Collaborates with Human Resources and department staff to ensure smooth financial operations
    • Maintains strict confidentiality of financial/payroll information and sensitive data
    • Performs related duties as assigned

    KNOWLEDGE, SKILLS AND OTHER CHARACTERISTICS:
    • Knowledge of District policies and procedures
    • Knowledge of Uniform System of Financial Records (USFR) for Arizona School Districts
    • Knowledge of Federal and State Tax Guidelines
    • Knowledge of Federal and State laws for garnishments and levies
    • Knowledge of financial record keeping
    • Skill in attention to detail, strong organizational and time management skills
    • Skill in processing payroll issues and deductions
    • Skill in preparing and reviewing reports
    • Proficient in Microsoft Office (Excel, Word, Outlook); experience with accounting software (e.g., Infinite Visions, or similar systems) preferred
    • Skill in following oral and written instructions
    • Skill in establishing and maintaining effective working relationships
    • Ability to prioritize and manage multiple tasks in a deadline-driven environment
    • Ability to maintain a high level of accuracy and confidentiality

    PHYSICAL REQUIREMENTS: Work is performed in an indoor environment. Work requires frequent sitting, repetitive motion, vision to monitor, and may require lifting.

    QUALIFICATIONS:
    High School Diploma or equivalent.
    Four (4) years of financial record keeping experience in Federal, State, and/or County setting, or an equivalent combination of training and experience.
    Additional certifications may also be required as specified by the District.

    Depending on the needs of the District, some incumbents in this class must be able to demonstrate fluency in both Spanish and English as a condition of employment.

    Salary Grade: K Hourly Pay: $21.20 Hours per Day: 8 Days in Contract: 260
