Patient Services Representative- Optometry

The Patient Services Representative is responsible for processing patient information, registering patients in patient management system. Assisting patients in completing all required forms for insurance and payment purposes. Customer service is a core competency for all Patient Service Representatives.


* Greet patients, clients, and visitors entering the clinic following all organizational customer service guidelines (refer to Customer Service Policy).

* Answer telephones (includes scheduling appointments) and provide information on Clinic operations following La Maestras established Phone Call Etiquette.

* Perform administrative duties, such as scheduling appointments, managing inventory, and other tasks as needed.

* Check in Patients (see PSR Procedures and Protocols).

* Obtain accurate changes in pertinent information such as address, phone, employment and insurance coverage and/or carrier.

* Inform patients of costs of care being provided. Collect and post charges in NextGen according to protocols.

* Verify insurance eligibility and obtain required authorizations and documents relating to all optometry visits.

* Knowledgeable of thirdparty payer policies and procedures for services and materials, documentation requirements, and patient instruction procedures.

* Scan the necessary scripts, emergency room forms, or other important documents within the medical chart for the provider to review during the examination.

* Prepare patients for vision examinations, such as obtaining preliminary patient histories and performing preliminary tests, training to be provided.

* Complete daily log at the end of each clinic day. Account for all moneys collected, submit cash and record entry on Cash Receipt Log to the Chief Financial Officers department.

* Maintain knowledge and skills of front desk operations in order to assist as necessary with reception, medical records, scheduling, and billing functions.

* Maintain forms and office supplies required for front desk activities.

* Maintain effective communication and working relationships with other employees and patients.

* Other functions as directed by the Supervisor.



High School Diploma or GED

Experience: 1 year of experience in private office or clinical setting.

Verbal and Written Skills to perform the job:

Bilingual (English/Spanish) preferred. Familiarity with basic word processing, spreadsheet, and database applications.


Working knowledge of optical equipment and its uses, experience with electronic health records. Demonstrate excellent organizational, communication, and interpersonal skills, a strong attention to detail, the ability to multitask, and the ability to work with delicate tools and materials.
