Definition
Definition: Under close general supervision, this position performs a variety of clerical support duties in support of Purchased/Referred Care (PRC) and Centralized Scheduling, including providing support to the PRC Coordinators, Medical Support Assistants, Schedulers, and Providers. Supervision is provided by the Centralized Scheduling Supervisor or other management personnel as identified. This job class is treated as FLSA non-exempt.
Distinguishing Features: The Clerk job class is the entry level clerical class where work assignments typically have clear instructions for completion and work is reviewed for accuracy and compliance with established standards and/or procedures. Work is performed in the Salt River Health Clinic or the off-site centralized scheduling department according to established guidelines and procedures, and is reviewed or monitored frequently until familiarization or accuracy is evidenced.
Essential Functions: Essential functions may vary among positions and may include the following tasks, knowledge, skills, abilities, and other characteristics. Examples of Tasks
1. Reception: As the first contact in the department, greets visitors and directs callers to appropriate staff and/or provides requested services.
2. Phones: Answers multi-line phone and directs call appropriately, and/or provides requested information, or takes messages for staff members as needed.
3. Mail: Opens, date stamps, and routes incoming mail (internal and external) to appropriate staff.
4. Administrative: Maintains unit files, which may include confidential / sensitive files, by organizing and filing forms, correspondence, records, reports and/or other related information alphabetically, numerically or in accordance with another established system.
5. Computer: Prepares letters, memos, reports, or other documents using a personal computer.
6. Miscellaneous: May run errands to other departments which requires driving.
Knowledge, Skills, Abilities and Other Characteristics:
Minimum Qualifications
For enrolled Community members without a GED, must obtain a GED. Requires participation in the HR GED Program and successful completion of the Arizona state certified exam in order to continue employment with SRPMIC. Experience equivalent to six (6) months performing a variety of customer service work is preferred. Experience performing clerical and office support tasks preferred or; Completion of a high school course or program in Office Practices, General Business or related field is preferred.
Special Requirements
Prior to hire as an employee, applicants will be subject to drug and alcohol testing. Will be required to pass a pre-employment background/fingerprint check.

- Maintains and/or schedules appointment calendars for work unit staff.
3. Mail: Opens, date stamps, and routes incoming mail (internal and external) to appropriate staff.
- Maintains adequate inventory of office supplies needed for work unit and orders additional materials and supplies as needed.
- Prepares various types of correspondence, fliers and packages for mail out as required.
4. Administrative: Maintains unit files, which may include confidential / sensitive files, by organizing and filing forms, correspondence, records, reports and/or other related information alphabetically, numerically or in accordance with another established system.
- Follow up on Purchased/Referred Care (PRC) referrals, initiate referral notifications by obtaining information from patients, family members, providers and Professional and non-professional staff from external providers; updates the patient's registration database, including but not limited to income information, third party information, and any other information required to meet the eligibility factors of PRC Program.
- Makes appointments, works closely with PRC Coordinators, and maintains accurate and current electronic record keeping system for PRC program.
- Retrieves information from files in response to requests from staff or the public.
- May transport documents or other data to other departments and throughout the Tribal complex.
- Serves as back-up for other office support staff, such as the PRC Coordinators, Medical Support Assistants, and Schedulers.
- Assists in the maintenance and operation of various office machines.
- Photocopies/scans appropriate information at the request of staff and/or the public.
5. Computer: Prepares letters, memos, reports, or other documents using a personal computer.
- Enters information into a database on a personal computer.
- Processes work orders, invoices, and other forms/documents used in the assigned work unit.
6. Miscellaneous: May run errands to other departments which requires driving.
- Maintains safe and clean working environment by complying with procedures, rules, and regulations; adhering to infection-control policies and protocols.
- Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Contributes to team effort by accomplishing related results as needed.
- Performs other job related duties as assigned by the Manager or designee to maintain and enhance department operation.

- Knowledge of the culture, customs, traditions, history and government of the Salt River Pima-Maricopa Indian Community.

Minimum Qualifications
- Education: Graduation from high school or GED equivalent is required
- Experience: Typing or keyboarding familiarity is required.
- Equivalency: Any equivalent combination of experience and education that will allow the applicant to satisfactorily perform the duties of the job may be considered when filling the position.
- Underfill Eligibility: An enrolled Community Member whom closely qualifies for the minimum qualifications for a position may be considered for employment under SRPMIC Policy 2-19, Underfill

- Any equivalent combination of experience and education that will allow the applicant to satisfactorily perform the duties of the job may be considered when filling the position May be required to work outside normal work hours including nights, weekends and holidays.
