Key Purpose
The Regional Maintenance Coordinator is responsible for ensuring the smooth operation of multiple client locations by coordinating maintenance activities. Their key responsibilities include scheduling and overseeing preventative maintenance, promptly addressing reactive maintenance calls, and using a facility management system to track and manage all related tasks. They must maintain accurate vendor documentation and provide on-call and after-hours support as needed, to minimize risk to the business. This role requires strict adherence to work order ticketing procedures and budget management. The Coordinator facilitates essential support for various client locations, which includes site access.
Additionally, they oversee change control processes and permits, and collaborate with operations teams, vendors, and property management to ensure vendor compliance with all requirements. The position also entails managing small projects, coordinating building and network shutdowns, overseeing repairs, scheduling preventative maintenance, and ensuring that vendors meet established standards and guidelines.

Key Areas of Collaboration and Influence
- Support the team, and report to the Regional Director of Operations
- Work closely with the Engineering Team supporting the Region and the Account
- Work closely with the entire Operations Team supporting the Region
- Present as the liaison to the vendors
- Communicate effectively with colleagues within the Business Unit and across the company so that information is disseminated effectively
- Participate in project groups and meetings as required
- Create/lead meetings when needed
- Raise concerns to management timely
- Apply critical thinking to support offices in the region

- Microsoft Office - Advanced Outlook, Excel, Word
- Knowledge of Facilities Management Software (Tririga/FieldFlex, preferred)
- Must be able to receive and follow instructions/direction
- Should be able to work and interact with all levels of management personnel, vendors, and contractors
Key Accountabilities
- Manage vendor relationships, including obtaining quotes, issuing purchase orders, validating completed work, reconciling invoices, and managing site access
- Troubleshoot issues and manage resources, including coordinating with landlords and onsite service providers
- Oversee small project management activities, such as building or network shutdowns and repairs. - Ensure that tasks and responsibilities contribute to meeting KPIs and preventing KPI failures due to ineffective work order management.
- Coordinate daily requirements and requests to facilitate office services for the company
- Collaborate with vendors to ensure that assets are operational and meet all customer KPIs
- Provide remote support for multiple locations
- Set up maintenance vendors and coordinate their onsite work
- Provide updates to the team regarding all scheduled and emergency work
- Maintain and update all equipment asset systems and databases
- Code invoices for approval, ensuring they are allocated to the correct cost centers before processing for payment
- Manage monthly budgets to ensure adherence to financial limits
- Oversee and coordinate special projects as required by the Facilities Department

- Must be able to lift a minimum of 10 pounds
- Must be able to work under pressure and time deadlines
- Must be able to respond to emergency issues and repairs, including after normal work hours

The annual salary range for this position is $73825 per year - $85450 per year pay Final compensation will be determined based on experience and skills and may vary from the range listed above.
