DISTINGUISHING FEATURES OF THE CLASS:

The Secretary II performs skilled secretarial and general clerical work, which requires typing, filing and related

activities. This position is distinguished from Secretary I by the more varied work assignments and the greater

independence with which assignments are performed.

ESSENTIAL FUNCTIONS:
  • Compose and type correspondence, documents, and reports of routine matters from clear copy or rough draft

requiring knowledge of departmental operations and regulations using standardized formats.

  • Sort, index, and file materials numerically, alphabetically or by some other predetermined classification

according to established procedures.

  • Retrieve/track files of information from manual and automated computer files.
    • Answer varied inquiries, over the phone or in person, explaining departmental policies and procedures and

    resolving routine questions or problems independently.

    • Act as a receptionist, greeting visitors, responding to phone inquiries and directing or routing to appropriate

    personnel.

    • Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes,

    and work cooperatively and jointly to provide quality seamless customer service.

    • Perform other related duties as assigned.
    • REQUIRED KNOWLEDGE, SKILL AND ABILITY:
      • Knowledge of office practices, procedures, and equipment operations.
        • Knowledge of proper business English, spelling, grammar, and basic arithmetic such as addition, subtraction,

        multiplication and division.

        • Skill and ability in using office equipment (i.e., computer, copy machine, fax machine).
          • Ability to follow written and verbal instructions.
            • Ability to comprehend and make inferences from material written in the English language.
              • Ability to learn job-related material primarily through oral instruction and observation. This learning takes

              place mainly in an on-the-job training setting.
