Job Description

Grand Canyon University is currently seeking a Senior Administrative Assistant that will be responsible to support the Dean of Students Office. Expected to correspond professionally on behalf of the Deans Office, compose and edit manuals and templated documents, coordinate programming for Student Affairs staff, schedule appointments and meetings, respond to student, parent, and staff requests and inquiries, gather and track data pertinent to Student Affairs, and other responsibilities as designated by the Deans Office.

Responsibilities:

  • Coordinate critical work processes and projects; provide office management assistance; manage complex and frequently changing calendars.
  • Handle sensitive and highly confidential information and documents with complete discretion; monitors mail (electronic and hard copy); identifies and properly directs documents.
  • Prepare complex documents and presentations; schedule and coordinate meetings; assist with market research.
  • Manage schedules and travel arrangements for the Dean of Students Office.
  • Track expenditures against budget; maintains all office supplies and orders as needed.
  • Provide clerical support for the Dean of Students Office. Responsible for maintaining the front office and reception area duties, including greeting and directing visitors, answering and directing phone calls, and processing submitted paperwork.
  • Coordinate the administrative assistants in Student Affairs to event plan, communicate process and policy changes, and distribute other pertinent information.
  • Welcome on-site visitors determine nature of business and announces visitors to appropriate personnel.
  • Gather, maintain and create graphs and charts of the various Student Affairs department programming and engagement data.
  • Track and process appeals overseen by the Deans Office and maintains appropriate templated letters and communication.
  • Attend meetings, some confidential in nature, as designated to gather and organize data and projects on behalf of the Dean of Students Office.

Qualifications:

  • Bachelors degree
  • 5 - 8 years of executive-level administrative experience
  • Action Oriented/Problem Solving
  • Self-Leadership
  • Professionalism
  • Computer Skills: Exception skills with Microsoft Office applications
  • Writing and Communication Skills: Able to communicate complex issues/matters verbally and in written form.
