Job Description
The Sr. Executive Assistant will provide support to the Chief Legal Officer of Bloomin Brands. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. They must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an executive within a large corporation. The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Strong written and verbal communication skills, independent decision-making ability and attention to detail are equally important.
DUTIES & ESSENTIAL JOB FUNCTIONS
* Managing calendars and meeting agendas, organizing and prioritizing meetings and calls for the CLO
* Calendaring meetings, deadlines, and other matters for the Board and its committees
* Updating company Board portal in advance of Board meetings
* Preparing and handling various internal/external correspondence, including writing and editing e-mails, drafting memos, and preparing communications on the executives behalf
* Creating and maintaining an orderly and efficient file system (hard copy or electronic) and maintaining comprehensive and accurate records
* Editing, finalizing and coordinating audio visual needs, updating content, sending reminders, and organizing catering, when necessary, for meetings and presentations
* Processing and tracking legal bills and other expense invoices
* Completing and processing departmental expense reports
* Ordering/maintaining departmental office supplies
* Coordinating and allocating items tracked for department budget
* Arranging and coordinating department travel and accommodation reservations
* Planning department meetings, gatherings, team building activities, education, and recognition
* Coordinating onboarding and set up of new hires in department
* Supporting other senior level members of the legal department as needed
* Interfacing with high-level executives, Board of Directors, external and internal customers
* Prioritizing and managing multiple projects simultaneously, and following through on issues in a timely manner
* Taking initiative to handle routine matters which do not require direct input from the executive

The successful candidate must:

* Be able to work with minimal supervision and plan, develop, coordinate and manage multiple assignments/tasks simultaneously
* Work collaboratively with members of the department and admin team
* Maintain a high level of confidentiality
* Be a self-starter who is able to adapt and interact professionally with all levels of management
EXPERIENCE REQUIRED
3+ years experience supporting at the Executive level
Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
Experience with Diligent Board books or the Board Portal is preferred
Excellent calendar management skills, including the coordination of complex executive meetings
Strong verbal and written communication and organizational skills with attention to detail
and follow up
Ability to prioritize and complete multiple tasks
Experience scheduling travel arrangements
Experience processing expense reports
